What are the responsibilities and job description for the Residential Construction Coordinator position at E.D. MILLER SERVICE COMPANY?
WHO WE ARE
Miller Service Company (MSC) is a premier residential HVAC contractor serving the custom/luxury DFW homebuilding market since 1967. We partner with DFW’s top custom homebuilders to deliver high-performance mechanical systems in some of the most prestigious, high-end homes being built today. We operate at a pace and complexity that demands precision, accountability, and extraordinary coordination.
We are on a mission to grow substantially, and we are building the team that will get us there. Every role we create is designed not just to fill a seat, but to add real, lasting capability to our organization.
THE OPPORTUNITY
The Residential Construction Coordinator is not a traditional coordinator role, and we are not looking for a traditional candidate. This person will serve as the operational nerve center of MSC's new construction field execution — the single most informed, most reliable, most organized person in our office when it comes to the status of our active construction projects.
Our Construction Project Managers, field supervisors, installers, and customer-facing team members will all rely on this person to keep projects moving, information flowing, with nothing falling through the cracks. You will manage information, not people — but your impact on how well this company operates will be felt everywhere.
If you are the kind of person who gets energized (not anxious) by a large number of moving parts, who takes quiet pride in being the most organized person in any room, and who finds deep satisfaction in helping a team win — this role was written for you.
WHAT YOU WILL DO
Project Oversight & Status Management – In-Office
- Maintain a real-time, comprehensive view of all active residential construction projects across varying phases — from pre-construction through final inspection and close-out
- Track project milestones, job schedules, permit status, inspections, equipment delivery, and punch list items for each job simultaneously
- Proactively identify upcoming conflicts, scheduling gaps, or at-risk deadlines and raise flags before problems become crises
- Ensure that project information is current, accurate, and accessible to all internal stakeholders at all times
Internal Team Support
- Act as the primary in-office resource for Project Managers, field supervisors, and installation crews — fielding questions, tracking down answers, and keeping everyone moving forward
- Coordinate across internal departments including purchasing, service, and billing to ensure job needs are met on time
- Work with internal Miller Service personnel to provide a frictionless transition for a completed home to m a construction project to
- Help prepare and distribute project documentation, schedules, work orders, and job packets
- Support onboarding of new jobs into our systems and ensure all required documentation is complete and filed correctly
Builder & Vendor Communication
- Serve as a professional, reliable point of contact for external builder customers and their purchasing managers — communicating clearly on schedules, status updates, and open items
- Coordinate with equipment vendors and suppliers on lead times, delivery schedules, and order status
- Represent MSC with professionalism and reliability in every external communication
Process & Operational Excellence
- Identify inefficiencies in how job information is managed and help develop better systems and processes
- Contribute to the creation of tools, templates, and workflows that help MSC scale its operations effectively
- Maintain detailed, organized records and ensure critical information never lives only in someone's head
WHO YOU ARE
Here is what we are looking for:
- Exceptionally organized — you have systems, and your systems work. You do not lose things. You do not forget things. You have a method.
- Calm under load — when the volume of tasks is high, you do not panic. You prioritize, communicate, and execute. You are steady.
- An excellent communicator — you are clear, professional, and responsive in writing and in person. People trust that when you say something will happen, it will happen.
- Genuinely curious and not afraid to ask — you are not intimidated by what you do not know. You ask smart questions and learn fast.
- Deeply trustworthy — you do what you say, say what you mean, and never leave people guessing. You are honest even when it is uncomfortable.
- A team player who wants to build something — you are not here for just a paycheck. You understand you are joining something that is growing, and you want to be part of making it great.
- Technology-literate — you are at home in Excel, ServiceTitan, job management software, and modern communication tools. You pick up new systems quickly.
- Proactive, not reactive — you look ahead. You do not wait to be told there is a problem; you spot it first and bring a solution.
