Responsibilities
- Greet clients and patients warmly, creating a friendly and professional first impression.
- Answer multi-line phone systems promptly, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Manage appointment scheduling and calendar coordination for staff or professionals, ensuring efficient time management.
- Handle data entry, filing, and document proofreading to maintain accurate records and support office operations.
- Utilize computer skills in Microsoft Office, Google Workspace, and other office management software to prepare correspondence, reports, and presentations.
- Support administrative tasks such as photocopying, faxing, mailing, and organizing files to keep the office running smoothly.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed.
- Provide customer support by addressing inquiries professionally and efficiently via phone or in person.
- Maintain office supplies inventory and coordinate with vendors for procurement as necessary.
- Support additional duties such as proofing documents, managing office emails, or assisting personal or medical reception needs as required.
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment. Veterinary experience a plus.
- Strong computer literacy with proficiency in Microsoft Office and data entry skills.
- Excellent organizational skills with the ability to multitask effectively while managing time efficiently.
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette.
- Experience with multi-line phone systems and office equipment such as printers and fax machines.
- Ability to perform typing quickly and accurately while maintaining attention to detail for proofreading documents.
