What are the responsibilities and job description for the Estimating Assistant position at Duval Fixtures, Inc?
**This position is an administrative role, but is integral to the company and has opportunity for growth. Position preference is full-time but we are willing to consider any part-time applicants or applicants that require flexible scheduling.**
Support for the Sales and Estimating departments as well as general office administrative duties.
ESTIMATING RESPONSIBILITIES:
- Collect and review Invitations to Bid (ITB’s) from the incoming requests.
- Enter all ITB’s into all tracking programs; keep database updated with most current and accurate information.
- Point person for manually and verbally requested information (in house, phone call, etc.).
- Review ITB’s and determine status and placement on bid list; add to bid calendar.
- Respond to ITB’s; communicate with customers on completion dates and schedule adjustments.
- Create and build digital job folder and files; download and/or scan all documents for any “To Bid” jobs.
- Review job drawings for size, scope, and complexity; determine materials needed and forward drawings to appropriate vendors for pricing needs for both standard and non-standard materials.
- Print necessary drawings, specs, RFI’s, addenda, cover sheet, etc. and gather additional documents pertinent to job.
- Create and maintain price lists for standard build materials used in estimating process. Keep current for all projects incoming.
- Maintain regular communication with Senior Estimator in order to transfer information regarding jobs to bid, scheduling, calendar review, pricing.
- Prioritization of scheduling estimate jobs as necessary.
- Contact customers and/or vendors for additional information as needed.
- Update bid documents as needed (addenda, RFI’s).
- Check for additional contractors bidding jobs currently scheduled for bidding; add to database tracker.
- Write final proposals and/or forward to customers via email as needed.
- Follow up with customers on submitted proposals for responses, revisions, or bid awards.
- Update and maintain electronic filing systems.
- Handle additional requests from Senior Estimator and management as needed.
GENERAL ADMINISTRATIVE RESPONSIBILITIES:
- Answer phones.
- Maintain records and filing.
- Maintain written records as required, including but not limited to daily and weekly scheduling, written logs of visitors, and online and physical filing systems.
- Maintain accurate personal schedule including hours worked and time off.
- Keep personal workspace neat, clean, and organized.
- Exercise confidentiality regarding work-related information.
- Support operations through completion of trainings and participation in meetings and team functions as appropriate.
- Comply with company policies and serve as an example to other team members in areas of attendance, safety, cleanliness, attitude, and performance.
- Demonstrate the company’s core values in daily practice and decision making. Serve as an example to other team members in matters of appearance, attitude, and performance.
- Must demonstrative the ability to establish and maintain a positive and cooperative working relationships in a team environment, communicate effectively with team members and provide exceptional customer service to external clients, vendors, and contractors.
REQUIRED QUALIFICATIONS:
Must be 18 years of age and have high school diploma or equivalent.
Must have strong attention to detail, time management skills, and be organized.
Must have strong and demonstrated abilities with Microsoft applications – Excel, Outlook, Word, Access. More than 90% of the workload is computer focused.
Experience with Innergy technology preferred.
Must be prompt, have good attendance record, and be willing to learn new work. References required.
