Duke's is now looking for a Bid/Opportunity Coordinator to join the corporate office in Elgin, IL!
In this role, you will play a vital role at the front lines of opportunity management ensuring every new customer lead, inquiry, and partnership opportunity is handled with precision, urgency, and professionalism. This position is ideal for a highly organized, detail-oriented individual with a solid understanding of the opportunity process (bids, RFPs, RFQs), and who enjoys supporting sales and business development, coordinating across teams, and driving momentum by guiding each opportunity initial inquiry through successful handoff or closure. If you have experience in construction, engineering, government contracting and/or utilities, that is a plus!
This is an onsite position, not remote or hybrid.
What you will do:
- Monitor incoming leads and inquiries, identify and qualify leads using GovWin IQ and other tools, and receive proposals and quotes from Sales ensuring all opportunities align with organizational goals; maintain accurate ERP records and collaborate with the Lead & Market Development Representative.
- Pipeline Coordination: Collaborate with Sales and Operations to advance opportunities through the pipeline by ensuring timely follow-up and complete documentation, including reviewing spec requirement summaries, preliminary pricing, and attending pre-bid meetings.
- Stakeholder Communication: Serve as the main point of contact for internal teams and external partners regarding specific opportunities, providing updates and gathering needed information.
- Process Improvement: Identify and implement improvements to opportunity tracking and management processes for increased efficiency and effectiveness.
- Documentation & Compliance: Ensure all opportunity-related bid, proposal and quote documentation is complete, accurate, and compliant with opportunity requirements.
- Other duties as assigned to support Customer Excellence.

- A bachelor’s degree in business, marketing, communications, or related field preferred
- 1–3 years of experience in bid and contract sales support, business development coordination, project coordination
- Experience in construction, engineering, government contracting and/or utilities is a plus!
- Solid understanding of the opportunity process (bids, RFPs, RFQs)
- Excellent written and verbal communication abilities
- Strong organizational and multitasking skills with attention to detail
- Ability to work independently and as part of a collaborative team
- Ability to build strong relationships with internal and external customers
- Ability to seek clarity, ask questions, and resolve issues or problems efficiently
- Ability to adapt and remain flexible in a dynamic environment
- Ability to effectively manage time and prioritize workload based on business needs
- Proficiency in office productivity software (e.g., Microsoft Office Suite), ERP, and CRM systems
- Proficiency in GovWin IQ and similar tools
