Role Description
Reporting to the Chief Operating & Business Officer, this role will be the operational backbone of the executive office while ensuring that our office runs efficiently, safely, and compliantly. This role requires discretion, operational rigor, and a strong ownership mindset. The role is based in our office in South San Francisco, California. Responsibilities include:
Executive Assistant (50%)
- Manage calendars, travel, and meeting logistics across investors, board members, and partners
- Prepare briefing materials, agendas, and follow-ups for board meetings and executive sessions
- Track strategic priorities and ensure cross-functional alignment on key initiatives
- Draft and manage communications on behalf of the executive team
- Assist with executive expense reporting and budget tracking
- Coordinate offsites, leadership meetings, and company-wide events
- Maintain strict confidentiality and exercise sound judgment
Office Manager (50%)
- Manage day-to-day office operations in South San Francisco location
- Oversee facilities, vendors, building management, and service providers
- Maintain office supplies, shipping/receiving, and inventory systems
- Support employee engagement initiatives, events, and team meetings
- Lead coordination of potential lab moves in the future
- Ensure compliance with workplace policies and procedures

Qualifications
Required
- 5 years of experience supporting a CEO or senior executive
- 3 years of office management experience
- Experience in biotech, pharmaceutical, life sciences, or related industry
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- High level of professionalism and discretion
- Proficiency in Microsoft Office and calendar management systems
Preferred
- Experience supporting Board of Directors meetings
- Experience in venture-backed startup environment
- Familiarity with lab-based office settings
- Experience managing vendors and facilities in South San Francisco biotech hubs
