Position Overview
The Practice Manager will be responsible for the overall operational success of the practice. This role works closely with ownership to manage staff, optimize systems, enforce policies, and maintain the highest level of professionalism and client experience.
This is a leadership position with real responsibility and decision-making authority.
Key Responsibilities
Operations & Systems
- Oversee all day-to-day operations of the medical spa
- Manage scheduling, patient flow, and office workflows
- Create, implement, and enforce SOPs and operational policies
- Monitor KPIs including booking utilization, cancellations, rebooking, and revenue
- Oversee inventory management and ordering
- Ensure HIPAA compliance and proper documentation
Team Leadership & Management
- Hire, onboard, train, and manage staff
- Conduct performance evaluations and provide coaching
- Address staff issues, attendance, and accountability
- Lead team meetings and support a positive, professional culture
- Enforce standards consistently across all departments
Client Experience
- Oversee front desk operations and client communication standards
- Handle client concerns and escalations professionally
- Support retention, memberships, and loyalty initiatives
- Monitor online reviews and patient feedback
Financial Awareness
- Understand revenue performance and cost controls
- Track payroll, staffing efficiency, and productivity
- Assist with performance-based incentives and reporting
Required Qualifications
- 3 years of medical spa, aesthetic practice, or healthcare practice management experience
- Proven experience managing staff and daily operations
- Strong leadership, organization, and communication skills
- Experience with scheduling or practice management systems (Zenoti or similar)
- Ability to work independently and make decisions confidently
- Knowledge of HIPAA and healthcare compliance standards
Preferred Qualifications
- Experience in a high-volume medical spa or cosmetic practice
- Familiarity with membership or loyalty platforms
- Strong understanding of KPIs and operational reporting
- Experience implementing systems and improving workflows
Compensation & Benefits
- Salary Range: Competitive and based on experience(Typical range for NJ medical spa practice managers: $75,000–$95,000 )
