Job Summary:
The Dispatch and Logistics Coordinator supports daily tour-related trucking operations by managing carrier bookings, driver dispatch, scheduling, and real-time route adjustments to ensure on-time, compliant, and cost-effective deliveries. This role serves as a key point of contact for drivers, owner-operators, internal teams, and tour clients, resolving operational issues and maintaining high service standards. The coordinator monitors fleet performance, compliance, and costs; prepares accurate invoices; tracks KPIs; and supports incident response and continuous improvement initiatives. Success in this role requires strong logistics knowledge, market-rate negotiation skills, attention to detail, and the ability to perform well in a fast-paced, time-sensitive environment across multiple time zones.
Key responsibilities:
- Assist with daily operations of tour-related trucking services, including booking carriers, daily dispatch, scheduling for company drivers and owner-operators to meet customer service and delivery commitments.
- Assign and manage carriers and drivers for tour projects, monitoring Hours of Service (HOS) and DOT compliance.
- Serve as a point of contact for drivers, owner-operators, and dispatch staff; work with the team to help resolve operational issues, service disruptions, and driver inquiries.
- Resolve operational challenges quickly and professionally while minimizing disruption to client schedules.
- Serve as a point of contact for tour clients, ensuring clear communication and excellent customer service.
- Assist with load planning, ensuring safe and efficient transport of equipment and freight.
- Monitor fleet utilization, fuel usage, and operational costs; recommend improvements to increase efficiency.
- Collaborate with the Safety & Compliance team to ensure all operations meet regulatory requirements.
- Monitor and adjust routes and loads in real time to optimize utilization, on-time performance, and cost efficiency.
- Ensure compliance with applicable transportation regulations (i.e., hours-of-service, vehicle inspections, licensing) and company safety policies)
- Prepare, review, and issue accurate invoices for services, rentals, and operations in a timely manner.
- Collaborate with operations, sales, and accounting teams to resolve discrepancies in invoicing or customer accounts.
- Track and report invoicing and quoting activity to management for financial accuracy and forecasting.
- Track and report key performance indicators (OTD, dwell time, utilization, claims/incidents); escalate trends and recommend corrective actions.
- Coordinate incident response (accidents, delays, cargo issues), working with safety, claims, and customer teams to contain impact and document follow-up.
- Assist with continuous improvement initiatives: standard operating procedures, process documentation, and small projects to improve dispatch and driver workflows.
- Liaise with internal stakeholders (sales, customer service, maintenance) and external partners (brokers, owner-operators, vendors) to ensure seamless operations.
Required qualifications:
- 1–4 years’ experience in transportation, logistics, dispatch, or operations coordination (combination of company-owned and owner-operator environments preferred).
- Proficiency with DAT One and Truckstop.com —ability to read the market, spot rate trends, and negotiate aggressively with subcontractor carriers.
- Familiarity with Transportation Management Systems (TMS), ELD/telematics, and standard dispatch tools.
- Working knowledge of relevant transportation regulations and safety requirements.
- Strong verbal and written communication skills; ability to coordinate across multiple stakeholder groups.
- Demonstrated problem solving, prioritization, and time management under tight timelines.
- Proficiency with MS Office (Excel) and experience with operational reporting.
- Ability to work across multiple time zones as needed.
