Summary:
As a Production Coordinator, you’ll be at the heart of our operations — building strong client relationships, delivering exceptional service, and ensuring the smooth execution of events from concept to completion. You’ll be the go-to person for client support, quotes, scheduling, and coordination across multiple departments.
Key Responsibilities
- Provide day-to-day support to the Rental Department across all production needs.
- Prepare rental quotes for a range of services including Pipe & Drape, Carpet, Kabuki, Traveler Track, Rope & Stanchions, Star Drape, and more.
- Maintain and grow client relationships by regularly checking in to ensure satisfaction and identifying opportunities to upsell based on client needs and budgets.
- Respond promptly and professionally to inbound calls, emails, and web inquiries.
- Process and confirm client orders with an emphasis on accuracy, clarity, and follow-through.
- Handle project management responsibilities: scheduling crews, coordinating with venues and warehouses, and organizing logistics.
- Review and communicate walk-through notes with lead technicians as needed.
- Serve as On-Call Coordinator (E-Line) approximately 4–5 times per month.
- Participate in production meetings for large or detailed jobs.
- Stay informed about Drape Kings’ full range of products and services to better serve client needs.
- Collaborate with internal teams to ensure seamless handoffs and job execution.
- Escalate issues appropriately to senior management when necessary.
- Promote Drape Kings–endorsed products and offerings.
- Other duties as assigned by management.
What We’re Looking For
We believe in hiring people, not just resumes. But here’s what success looks like in this role:
Required Experience & Skills
- At least 1 year in an Inside Sales or similar client-facing role
- Industry experience in any of the following: AV, Lighting, Scenic Shop, Special Events, Rentals, Weddings, TV/Film Production, Trade Shows
- Strong communication and interpersonal skills — both written and verbal
- Proven ability to manage multiple projects and deadlines simultaneously
- Self-starter with strong organizational skills and a detail-oriented mindset
- Comfortable with MS Office; experience with HireTrack a plus
- Ability to think proactively, solve problems on the fly, and maintain professionalism under pressure
- Must be fluent in English (spoken and written); bilingual skills are a plus
- Willingness to work flexible hours, including early mornings, evenings, or weekends if needed
- Positive attitude, team-player mentality, and a calm demeanor in a fast-paced environment
