Job Summary
We are seeking a highly organized and experienced Executive Legal Assistant to support attorneys in a fast-paced medical malpractice litigation practice. This role requires exceptional attention to detail, strong legal administrative skills, and experience handling complex medical records, litigation documents, and case management tasks. The ideal candidate is proactive, dependable, and capable of managing sensitive legal and medical information with professionalism and discretion.
Responsibilities
- Provide executive-level administrative and litigation support to attorneys handling medical malpractice cases.
- Manage attorney calendars, deadlines, court dates, depositions, and client meetings.
- Proofread and format legal documents including pleadings, motions, discovery responses, subpoenas, and correspondence.
- Coordinate the collection and organization of medical records, billing records, and expert reports.
- Maintain case files and track litigation deadlines using case management software.
- Communicate with clients, medical providers, expert witnesses, court personnel, and opposing counsel.
- Prepare and file legal documents with courts (e-filing systems).
- Assist with deposition and trial preparation, including exhibit organization and witness coordination.
- Monitor case progress and assist attorneys with case strategy support and documentation management.
- Handle confidential legal and medical information in compliance with privacy and ethical standards.
Experience
- 3–7 years of experience as a legal assistant or litigation assistant, preferably in medical malpractice, personal injury, or healthcare litigation.
- Strong understanding of litigation procedures and legal terminology.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel).
- Experience with legal case management and e-filing systems.
- Excellent written and verbal communication skills.
