About This Role
Front Desk Coordinator | Client Experience Concierge
We are seeking a warm, polished, and highly organized Front Desk Coordinator to serve as the first and lasting impression of our practice.
This role goes beyond traditional front desk responsibilities. It is about creating a calm, structured, and elevated experience for every client while maintaining seamless daily operations.
You will help set the tone of the entire practice — balancing efficiency with attentiveness, and professionalism with genuine care.
Your Schedule
- Monday, Wednesday & Friday: 8:50 AM – 6:00 PM
- Tuesday & Thursday: 9:50 AM – 7:00 PM
Must-Have Qualifications
- At least 1 year of experience in a client-facing role (medspa, healthcare, hospitality, or luxury service preferred)
- Strong communication skills — professional, warm, and service-oriented in person, over the phone, and via email
- Highly organized with strong attention to detail
- Ability to manage multiple schedules, appointments, and client interactions with efficiency and composure
- Comfortable in a client-facing, high-touch environment
- Tech-savvy with experience in scheduling systems or CRM tools (Weave, AestheticsPro, or similar preferred)
Key Responsibilities
- Welcome clients with warmth, professionalism, and presence
- Coordinate appointments and maintain smooth daily flow for clients and providers
- Manage calls, texts, and emails with clarity and responsiveness
- Maintain an organized, polished front desk environment
- Support overall client experience from arrival through checkout
What You’ll Do
Create a Strong First Impression
- Greet every client with confidence, warmth, and professionalism
- Set a calm, structured tone aligned with a high-end clinical environment
- Maintain a clean, organized, and visually polished front area
Manage Scheduling & Flow
- Guide clients through check-in and check-out seamlessly
- Coordinate provider schedules and treatment timing efficiently
- Handle confirmations, cancellations, and rescheduling with clarity and accuracy
Support Client Communication
- Respond promptly to calls, emails, and text inquiries
- Provide clear guidance before and after visits
- Share treatment options and next steps when appropriate, always with professionalism
Oversee Front Desk Operations
- Process payments accurately and efficiently
- Maintain organized records, client profiles, and scheduling systems
- Ensure all documentation and accounts are up to date
Pay: From $16.00 per hour
