Position Summary
11 North Aesthetics is seeking a highly organized, professional, and personable Front Desk / Client Coordinator to be the face of our luxury aesthetics practice. This role is responsible for creating an exceptional patient experience from the moment a client contacts the office until they complete checkout. The ideal candidate is detail-oriented, comfortable with technology, passionate about customer service, and thrives in a fast-paced medical aesthetics environment.
Responsibilities
Patient Experience & Front Desk Operations
- Greet and welcome patients with professionalism and warmth
- Answer incoming phone calls and respond to text messages and emails
- Schedule, confirm, reschedule, and manage appointments through Mangomint
- Assist patients with treatment questions and direct them to appropriate providers when needed
- Maintain a clean, organized, and inviting reception area
- Check patients in and out efficiently
- Ensure all required consent forms and intake paperwork are completed prior to appointments
- Verify patient information and update records as needed
Client Coordination
- Build strong relationships with patients and provide exceptional customer service
- Educate patients on membership options, packages, retail products, and current promotions
- Follow up with patients regarding consultations, treatment plans, and outstanding recommendations
- Assist with patient retention and rebooking efforts
- Resolve patient concerns professionally and escalate issues when necessary
Sales & Revenue Support
- Promote memberships, treatment packages, skincare products, and special offers
- Process payments accurately
- Assist providers in achieving monthly sales goals through patient education and rebooking
- Track package balances and membership usage
- Generate payment links and assist patients with remote purchases
Marketing & Administrative Support
- Assist with social media engagement and patient communication campaigns
- Help execute SMS and email marketing campaigns through Mangomint
- Request patient reviews and testimonials
- Maintain accurate client records and documentation
- Support office events, promotions, and community outreach initiatives
Daily Operations
- Open and close the office according to company procedures
- Monitor appointment schedules and provider availability
- Manage inventory of office and retail supplies
- Coordinate with providers and management to ensure smooth daily operations
- Complete administrative projects as assigned
Qualifications
- Previous customer service, front desk, hospitality, medical office, spa, or aesthetics experience preferred
- Experience with Mangomint or similar scheduling software preferred
- Strong communication and interpersonal skills
- Professional appearance and positive attitude
- Excellent organizational and multitasking abilities
- Ability to work independently and as part of a team
- Comfortable learning new technology and software
- Sales experience is highly preferred
- Passion for aesthetics, wellness, skincare, and patient care
