Duties
- Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
- Operate single-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
- Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Support office management activities such as calendar management, appointment scheduling, and meeting coordination
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
- Provide exceptional customer support by addressing inquiries via phone or email and resolving issues promptly
- Proofread correspondence, reports, and documents to ensure clarity and accuracy before distribution
- Perform clerical duties including photocopying, faxing, scanning, and mailing as needed
- Support medical reception duties , including patient check-in/out processes and insurance documentation
- Contribute to office organization by managing supplies inventory and coordinating maintenance requests
Skills
- Strong front desk experience with excellent customer service skills
- Ability to operate single-line phone system with professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Solid office management skills with experience in calendar management and organizational tasks
- Basic computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and general data entry skills
- Excellent proofreading abilities for professional correspondence and reports
- Experience in clerical roles with strong organizational skills and attention to detail
- Knowledge of office procedures such as filing systems, photocopying, scanning, and mailing processes
- Personal assistant or administrative experience that demonstrates time management capabilities
- Familiarity with medical receptionist duties is a plus but not required
- Ability to handle multiple priorities efficiently while maintaining a positive attitude
