Duties
- Oversee all administrative functions, including clerical tasks such as filing, data entry, and record keeping to maintain an organized office environment
- Manage calendar schedules for leadership and team members, coordinating meetings, appointments, and events with precision
- Supervise front desk operations, including multi-line phone systems, visitor management, and phone etiquette to ensure professional communication standards
- Coordinate vendor relationships for office supplies, equipment maintenance, and service providers to ensure seamless operations
- Plan and execute company events and team-building activities that foster a positive workplace culture
- Handle human resources responsibilities such as onboarding new staff, supporting training & development initiatives, and assisting with payroll processing using QuickBooks or similar software
- Monitor office budget and expenses, including bookkeeping tasks and invoice processing to stay within financial parameters
- Support medical or specialized office management tasks if applicable, ensuring compliance with relevant policies and procedures
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Supervising experience with the ability to lead teams effectively and foster a collaborative environment
- Proficiency in QuickBooks for payroll, budgeting, and bookkeeping functions
- Excellent communication skills—both verbal and written—to interact professionally with staff, vendors, and visitors
- Strong event planning abilities for coordinating meetings, trainings, and company functions
- Expertise in schedule management and calendar coordination for multiple stakeholders
- Vendor management skills to negotiate contracts and maintain positive supplier relationships
- Knowledge of human resources processes including onboarding, training & development programs, and HR compliance
- Experience managing front desk operations with multi-line phone systems and phone etiquette proficiency
- Familiarity with medical office management or specialized administrative environments is a plus
- Ability to multitask efficiently in a fast-paced setting while maintaining attention to detail
