Duties
- Greet visitors warmly, verify appointments, and direct them appropriately within the office
- Operate multi-line phone systems efficiently, answer inquiries, and transfer calls with professionalism and courtesy
- Manage incoming and outgoing correspondence, including emails, mail, and packages
- Maintain front desk appearance, including filing, organizing documents, and managing office supplies
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
- Assist with basic bookkeeping tasks using QuickBooks or similar software for invoicing and expense tracking
- Provide exceptional customer service by addressing inquiries promptly and courteously, ensuring positive interactions at all times
Requirements
- Proven experience in front desk or receptionist roles within an office environment
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent phone etiquette with experience handling multi-line phone systems; bilingual abilities are a plus
- Demonstrated organizational skills with attention to detail in data entry, proofreading, filing, and record keeping
- Ability to manage time effectively in a fast-paced setting while multitasking seamlessly
- Clerical experience combined with customer support background preferred
- Personal assistant or administrative experience that includes calendar management and basic bookkeeping is advantageous
- Knowledge of office management procedures such as filing systems, data entry protocols, and office software literacy
