What You Will Do
Deliver Exceptional Client Service
You’ll be one of the first people clients turn to, someone who makes their financial lives feel easier, clearer, and more supported.
- Serve as a trusted day‑to‑day resource for clients, handling questions, service needs, and account requests with confidence.
- Partner closely with Portfolio Managers on client inquiries, cash needs, and trade‑related actions.
- Create polished client correspondence, meeting materials, and quarterly performance reports.
- Join client meetings in a support role and help manage annual ADV delivery communications.
Lead Account Onboarding & Maintenance
You’ll guide new clients through a smooth, professional onboarding experience and keep their accounts running flawlessly.
- Coordinate new client onboarding, account setup, transfers, and required documentation.
- Process account updates, beneficiary changes, and service forms with precision.
- Manage asset transfers and money‑movement requests with custodians.
- Maintain clean, accurate client records across CRM and portfolio systems.
- Handle distributions, EFTs, journaling, demographic updates, and other account transactions.
Support Custodial & Operational Workflows
You’ll be the operational engine that keeps everything moving.
- Monitor and resolve service requests and account activity with Schwab and RBC.
- Review Schwab alerts and ensure timely follow‑through.
- Enter daily trades and adjust RBC trades when needed.
- Download and organize monthly statements and trade confirmations.
- Communicate with custodial service teams to resolve account and operational issues.
Contribute to Reporting, Billing & Compliance
Your work will directly support the firm’s accuracy, transparency, and regulatory excellence.
- Prepare quarterly performance reports, including AUM, gains/losses, and benchmark comparisons.
- Process monthly management fees and handle fee‑check deposits.
- Prepare quarterly compliance training letters and track signatures.
- Support investment research and cost‑basis analysis.
Assist with Special Projects & Administrative Support
You’ll jump into meaningful projects that strengthen the firm and enhance the client experience.
- Manage class‑action settlement processing, including claims and documentation.
- Generate reports, spreadsheets, and client‑ready documents.
- Contribute to operational projects and periodic administrative initiatives.
- Provide backup support for the Executive Assistant to ensure seamless workflow.
- Track follow‑ups, identify discrepancies, and escalate issues when needed.
What You Bring
