We are looking for a Lamoille County Administrative Specialist to join our team!
Downstreet is seeking a highly organized, detail-oriented professional to support our Lamoille County housing operations. This position will manage a diverse array of administrative tasks that help ensure program compliance, quality property management, and effective maintenance of Downstreet properties. This position requires strong administrative judgment, excellent follow-through, and the ability to coordinate across multiple systems, priorities, and teams.
Key Responsibilities
- Provide administrative support for Downstreet’s Lamoille County property management, compliance, and maintenance operations.
- Serve as a professional and welcoming point of contact for residents, applicants, vendors, partners, and community members contacting or visiting the Lamoille County office.
- Support lease-up, recertification, compliance, inspection, maintenance, and resident communication processes through accurate scheduling, tracking, documentation, and follow-up.
- Maintain organized electronic and paper records related to residents, properties, work orders, inspections, compliance requirements, vendor coordination, and other operational needs.
- Assist with preparation, collection, review, and tracking of forms, notices, applications, resident communications, and other required documentation.
- Help track deadlines, recurring tasks, reporting needs, and required documentation to support program compliance and high-quality property operations.
- Support maintenance coordination by assisting with work order communication, vendor scheduling, resident notices, inspection preparation, and follow-up documentation.
- Assist with office operations, including filing, supply ordering, mail, scanning, data entry, meeting preparation, and general administrative support.
- Help identify opportunities to improve administrative systems, workflows, communication tools, and documentation practices.
- Handle sensitive resident, applicant, and organizational information with professionalism, discretion, and confidentiality.

Experience and Education
- Associate’s or Bachelor’s degree in a related field, or equivalent life and professional experience.
- Experience in administrative support, property management, affordable housing, nonprofit administration, compliance, customer service, or office coordination strongly preferred.
- Strong organizational skills and ability to manage multiple tasks, deadlines, and communication channels simultaneously.
- Comfort working with databases, spreadsheets, electronic files, email, and standard office technology.
- Ability to remain calm, professional, and solution-oriented when working with individuals experiencing stress, housing instability, or urgent needs.

Physical Requirements
- Prolonged periods sitting at a desk and working at a computer.
- Ability to occasionally assist visitors at the front entrance and move materials within the office.

Salary: $50,000 annually
