About the Role
As DHA’s Receptionist, you will be the first point of contact for residents, visitors, community partners, and applicants. Your contributions ensure smooth daily operations and provide essential support to multiple departments. You’ll work independently with guidance from the Executive Director, Deputy Director, Finance Director, and Director of Occupancy.
Key Responsibilities
- Greet and assist walk-in visitors with professionalism and courtesy
- Answer and route incoming phone calls; provide information and referrals
- Support Occupancy, Finance, and Administrative departments with clerical tasks
- Receive work orders via phone/email, coordinate with maintenance, and enter into MRI
- Close completed work orders
- Review incoming paperwork for accuracy, completeness, and required verifications
- Enter rent payments during closed office hours
- Issue parking permits and track vehicle registrations
- Complete rental verifications for DHHS, CAP, Welfare, and other agencies
- Update master spreadsheets (occupancy, keys, pet policy, etc.)
- Create and manage keys and lock cores for all DHA units
- Organize and audit the master key cabinet and tracking logs
- Assist with filing, scanning, and document retention
- Support mailings, notices, and communication distribution
- Perform other duties as assigned by DHA leadership
What You Bring
- Strong Microsoft Office skills, especially Excel (formulas, formatting, sorting)
- Excellent organization, time management, and multi-tasking abilities
- Clear written and verbal communication skills
- Knowledge of office practices; familiarity with government or nonprofit settings a plus
- Professionalism, confidentiality, and exceptional attention to detail
- Ability to engage respectfully with a diverse population
- Experience with both digital and physical filing systems
- Thick skin and the ability to remain calm, professional, and composed when working with stressful situations
Preferred Qualifications
- High school diploma or equivalent; business/office coursework a plus
- 2 years of clerical or administrative experience
- Experience in a government, nonprofit, or housing agency preferred
- Or an equivalent combination of training and experience
Salary & Schedule
- $19–$24 per hour, depending on experience
- Part-time, flexible schedule (24–32 hours/week), Monday–Thursday only
