The Receptionist plays a critical role in transmitting the proper image of the firm by acting as the first point of contact to visitors, clients, suppliers, and business partners. The Receptionist will provide support to employees across the firm, receive and route telephone calls, greet clients and visitors, and perform a number of other tasks. This role is comprised of equal parts reception duties and administrative duties.
Job Functions
- Professionally answer, screen and direct incoming phone calls
- Greet and direct visitors in a professional, friendly and hospitable manner
- Maintain the office business calendar, using Microsoft Outlook
- Prepare and manage conference room reservations, set-up and break-down rooms which includes ordering meals, setting up catering, providing meeting materials and setting up Microsoft teams calls and troubleshooting any technical issues that arise
- Provide general clerical and administrative support to professionals at all levels, which may include making travel arrangements and processing travel & expense reports as well as data entry for various departments
- Liaise with building services and Facilities to ensure kitchens and conference rooms are fully stocked and ready for use
- Minimum 2 years of administrative or customer service experience
- Previous experience at a financial services company is a plus
- Advanced proficiency with Microsoft Outlook and Teams
- Familiarity with other Microsoft Office programs (Word and Excel)
- Must be customer service oriented
- Strong communication skills and attention to detail
- Professional personal presentation and demeanor
- Flexible and able to accommodate the needs of the firm
- Able to multi-task & work with minimal supervision
Base Salary Range
The estimated base salary range for this position is $60,000 - $70,000. In addition to base salary, this position is eligible for an annual discretionary bonus, plus a comprehensive benefits package.
