We are seeking a highly motivated and detail-oriented Special Event Coordinator to join our dynamic team.

Job Summary:

The Special Event Sales Coordinator will be responsible for assisting in all aspects of running the Resort and Chapel as needed – focus will be on the Chapel. The Special Event Coordinator will be responsible for planning, organizing, and executing a variety of events, including corporate functions, conferences, weddings, and social gatherings. The ideal candidate will possess excellent organizational skills, a keen eye for detail, and the ability to manage multiple tasks and deadlines efficiently. This role requires exceptional interpersonal skills to collaborate with clients, vendors, and internal teams to ensure every event runs smoothly and successfully.

Key Responsibilities:

Event Coordination: Create and organize documents for each event, documenting communication, important information, and additional notes. Create layouts, timelines, etc. based on the information from clients. Create new questionnaires and forms when necessary.

Client Relations: Work closely with clients to understand their needs, preferences, and objectives. Provide advice and creative solutions to enhance event experiences and meet client expectations. Show them how our certain packages and amenities will help them with their specific event needs. Respond to inquiries and search out leads when possible. Conduct tours with a personal and professional touch. Draft contracts, statements, and process payments.

Vendor Interface: Communicate as needed with vendors to make sure all necessary information is documented. Attend networking functions when available.

Resort and Chapel Collaboration: Assist with aspects of running the resort such as stripping, prepping, and other housekeeping duties when necessary.

On-site Assistance: Be present at events to assist with setup, execution, and breakdown. Handle any on-site issues or emergencies promptly and effectively.

Post-Event Follow-up: Reconnect with clients to receive feedback on each event. Note areas of improvement for future events.

Online Marketing: Maintain Social Media profiles with regular posts and updates as needed. Maintain the business websites and additional accounts for lead generation.

Qualifications:

Education: Bachelor’s degree in Event Management, Hospitality, Business, or a related field preferred.

Experience: Experience in customer service and event coordination (preferred). Experience with corporate and social events is a plus.

Skills:

- Exceptional organizational and multitasking abilities.

- Strong interpersonal and communication skills.

- Proficiency with Canva Design and Microsoft Office.

- Creative problem-solving skills and attention to detail.

- Ability to work under pressure and adapt to changing situations.

- Willingness to learn and/or maintain social media accounts.

- Enthusiastic, upbeat personality to work with our families, couples, & corporate clients.

- Able to pass standard background check, drug screening possible.

Working conditions

- Hours: Flexibility in working hours, including evenings and weekends, as required by event schedules.

Pay: $17.00 - $19.00 per hour
