We are currently seeking a talented Administrative Assistant to join our team in Cornelius, NC! This position offers the opportunity to support our tax professionals and consulting staff year-round and to share your administrative expertise.
The ideal candidate will demonstrate strong interpersonal skills with the ability to establish and maintain effective working relationships with staff, management, public and external agencies. A key responsibility will be processing electronic or paper copies of clients' income tax returns which may require the ability to work overtime during the busy tax filing periods. Additional duties include:
- Assists owner, manager and staff with all office activities, coordinating client meetings, scheduling appointments, and composing correspondence.
- Demonstrates the ability to multi-task, including answering phones with professionalism, greeting clients, coordinating meetings and managing client document intake.
- Possesses the ability to master technology skills, using Firm software for billing, time record keeping and client maintenance and set-up.
- Possesses basic proficiency on QuickBooks software, including invoicing and Account Receivable processing.
- Keeps stock of office supplies, coordinates maintenance on office equipment, sorts incoming and processes outgoing daily mail, and manages UPS and Federal Express accounts.
In the Administrative Assistant/Assistant Accountant role, you will need excellent customer service skills, strong written and verbal communication skills and the ability to work independently with limited supervision.
Specific requirements include :
- 3 years of administrative experience, preferably in a professional services setting.
- 2 years of QuickBooks experience
- Post secondary education or commensurate work experience.
- The ability to work in a high-volume work environment.
- Strong multi-tasking and prioritizing skills to meet deadlines.
- Excellent organizational skills.
- Proficiency in Microsoft Word, Excel and Outlook.
