Position Summary:
The Receptionist/Administrative Assistant acts as the first point of contact for the Domestic Violence Resource Center (DVRC). In addition to warmly greeting callers and visitors, this position performs a variety of clerical duties including sorting mail, filing, printing, and copying. All employees are expected to uphold and exhibit the DVRC’s values of Compassion, Dignity, Resilience, and Empowerment in their work.
Essential Functions:

- Answering, screening, and routing incoming calls on multi-line system.
- Greet clients, volunteers and donors, either directing them to the appropriate team member, or guiding them to complete necessary forms.
- Maintain log of calls and walk-in visitors.
- Receive and sort staff and client mail.
- Open and close the DVRC front office daily.
- Keep the front lobby area clean and tidy throughout the day.
- Support the Office Manager in maintaining the organization’s files.
- Assist staff with coordination of meetings, including booking rooms and preparing handouts.
- Place office supply orders and manage regular inventory of items.
- Confirm client appointments and communicate with appropriate staff.
- Maintain up-to-date staff contact list.
- Work with leadership team to coordinate staff birthday celebrations.
- Ensure organization’s resource list contains current and accurate information.
- Document the receipt of in-kind donations.
- Perform other administrative duties as assigned.
Knowledge, Skills and Abilities:
- Superior customer service skills.
- Strong verbal and written skills, in both Spanish and English.
- Proficiency with technology including Microsoft Office Suite.
- Ability to manage multiple projects efficiently, accurately and simultaneously.
- Demonstrated organizational abilities.
- Ability to show flexibility in response to change and adapt to and accommodate new methods and procedures.
- Effective conflict resolution, particularly relative to working with clients in crisis.
- Disciplined and able to maintain confidentiality.
Minimum Qualifications:
High school diploma required. Fluency in Spanish and English. All Domestic Violence Resource Center employees must sign a confidentiality agreement to protect the privacy of the shelter location and identities of the clients served by the organization.
Physical Requirements:
- Must be able to remain in a stationary/seated position at least 75% of the time.
- Ability to move office supplies/materials weighing up to 20 pounds within office environment.
- Ability to lift, move and/or transport household items, small pieces of furniture and/or repair materials.
Pay: $16.00 - $20.00 per hour
