What are the responsibilities and job description for the Transportation Aide position at Dogwood Village of Orange County?

POSITION OVERVIEW:

The role supports Health & Rehab and Senior Living operations by managing nursing staff schedules, staffing coverage, clerical and payroll support, and providing safe, timely transportation services to residents in accordance with care plans, facility policies, and supervisory direction.

ESSENTIAL FUNCTIONS:

Staffing

  • Develop and maintain staffing schedules for Nurses, CNAs, and RMAs in Health & Rehab and Senior Living.

  • Receive, approve, and manage vacation requests for Nurses, CNAs, and RMAs.

  • Prepare and implement daily assignment sheets for Health & Rehab Nurses and CNAs.

  • Manage call-offs and coordinate replacements for Nurses, CNAs, and RMAs.

  • Assist with payroll and attendance tracking for Nursing staff.

  • Enter resident information into AHT and update Resident Transfer Lists as needed in the absence of the Nursing Clerical Assistant.

  • Develop and implement on-call schedules and serve on-call every other week for Nurse and CNA staffing issues.

  • Assist with performance evaluations of CNAs and Nurses.

  • Monitor PPD screenings and license renewals to ensure timely completion.

Transportation

  • Provides transportation services to residents as scheduled or as needed for appointments or events.

  • Assists resident with transfer activities during the transport in accordance with care plans and established policies and procedures.

  • Assists resident with onboarding and offboarding from vehicle including use of mechanical lifts, turning, moving, positioning, and transporting into and out of the vehicle and into suitable wheelchair when applicable.

  • Safeguards resident medical paperwork as needed during medical transports. Provides paperwork to receiving provider.

  • Accepts directions from the Director of Nursing, Social Services Director, or designee to coordinate transport schedule.

  • Delivers paperwork subsequent to transport related to state Medicaid voucher transport reimbursement where applicable.

  • Maintains all required paperwork such as documenting resident presence on the transport roster during onboarding and offboarding, mileage logs, etc.

  • Delivers resident timely for appointments and events.

  • Researches and plans for traffic delays, weather delays, etc.

  • Ensures facility vehicle is properly maintained, fueled, clean and serviced suitable for resident use.

  • Completes documentation daily as assigned.

  • Keeps supervisor informed of factors that interfere with being able to perform the work as assigned (i.e. resident issues, vehicle issues).

  • Reports any untoward event immediately to supervisor.

  • Performs other duties as assigned.

ADDITIONAL FUNCTIONS:

  • Perform clerical tasks, including filing, typing, updating lists, and answering phones.

  • Provide coverage for the CNA Team Leader, Medical Supply Coordinator, and Nursing Clerical Assistant as needed for absences, vacations, breaks, or lunch periods.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to remain calm and professional in complex or challenging situations.

  • Strong organizational skills, with the ability to prioritize multiple tasks, projects, and deadlines.

  • Clear and effective verbal and written communication with residents, families, staff, vendors, and other contacts.

  • Patience, positivity, and a genuine commitment to serving the elderly population.

  • Experience with automated time and attendance or payroll systems preferred.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Experience with electronic medical records preferred.

  • Ability to read, write, speak and understand the English language.

  • Must be a supportive team member, contribute to and be an example of team work.

  • Ability to make independent decisions when circumstances warrant such action.

  • Ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.

  • Must have patience, tact, and willingness to deal with difficult residents, family and staff.

  • Must not pose a threat to the health and safety of other individuals in the workplace.

  • Must be able to move intermittently throughout the workday.

  • Meets general health requirements according to facility policy, including medical and physical exams and checking immunity status to various infectious diseases.

  • Ability to work beyond normal working hours and on weekends and holidays when necessary.

  • Ability to assist in evacuation of residents during emergency situations.

  • Ability to bend, stoop, kneel, crouch, perform overhead lifting and perform other common physical movements as needed for the position.

  • May be subject to falls, burns from equipment, and/or odors throughout the day; encounter reactions from dust, tobacco smoke, disinfectants, and other air contaminants.

  • Subject to exposure to infectious waste, diseases and/or conditions which include AIDS, Coronavirus, Hepatitis B, and Tuberculosis.

  • May be subject to hostile or emotional residents, family members, visitors or personnel.

  • Ability to deal with conflict with professionalism and courtesy.

  • Positive interpersonal relationship skills, including with persons of all ages and cultures.

  • Ability to walk, stand, sit, bend, and stoop for extended periods.

  • Dexterity of hands and fingers to perform resident care.

  • Ability to lift, move, push or pull a minimum of 35 pounds.

  • May work beyond assigned working hours, including weekends and holidays, when necessary.

EDUCATION AND EXPERIENCE:

High school diploma or equivalent

Certified Nursing Assistant in good standing with the state. Current CPR/BLS certification. 1–3 years of experience as a CNA.

PHYSICAL REQUIREMENTS:

  • Ability to stand, walk, sit, stoop, bend, and reach for extended periods.

  • Ability to lift up to 20 pounds frequently (up to 66% of the time spent in performance of duties) and up to 35 pounds occasionally (up to 33% of time spent in performance of duties).

  • Manual dexterity that allows grasping, carrying, and holding equipment and supplies or for resident care as needed to perform tasks.

  • Ability to see, hear, and verbally communicate with residents, visitors, and staff members during performance of duties.

SPECIAL REQUIREMENTS:

Requires a satisfactory general background check, including state and local criminal history checks, as well as a satisfactory drug screening.
