What are the responsibilities and job description for the Freight Forwarding Operations position at DIT San Francisco Inc.?
Key Responsibilities:
Shipment Coordination
· Handle daily import and export shipment operations, including ocean, air, trucking, and warehouse coordination.
· Monitor shipment status from booking, departure, arrival, customs clearance, delivery, and final POD.
· Coordinate with carriers, airlines, steamship lines, truckers, warehouses, customs brokers, and overseas agents.
Documentation
· Prepare, review, and manage shipping documents, including HBL, MBL, arrival notices, delivery orders, ISF-related documents, commercial invoices, packing lists, and other logistics paperwork.
· Ensure shipment documents are accurate, complete, and submitted on time.
· Maintain organized shipment records in the company system.
Customer Service
· Communicate with customers regarding shipment status, document requirements, delivery schedules, and operational issues.
· Provide timely updates and follow up on customer inquiries.
· Assist with problem-solving when delays, customs holds, exam holds, trucking issues, or documentation discrepancies occur.
Vendor & Partner Coordination
· Work closely with overseas agents, carriers, truckers, customs brokers, CFS warehouses, and other service providers.
· Request and compare rates when needed.
· Follow up on pickup appointments, delivery appointments, freight release, exam status, and POD.
Billing & Cost Control
· Verify vendor invoices and shipment costs.
· Input costs and charges into the operating system accurately.
· Assist accounting and sales teams with billing questions, cost disputes, and invoice backup.
Issue Handling
· Identify potential operational risks and escalate issues in a timely manner.
· Assist with claims, cargo damage, missing cargo, delay issues, and customer complaints.
- Maintain clear communication and documentation during problem-solving.
Qualifications & Skills
- Strong professional email and written communication skills.
- Excellent customer service and interpersonal communication abilities.
- Proficient in Microsoft Word, Excel, Adobe applications, and general office software.
- Bilingual in English and Chinese; Mandarin preferred.
- Detail-oriented, organized, and able to multitask in a fast-paced environment.
- Basic knowledge or experience in freight forwarding, logistics, import/export, or supply chain operations preferred.
- Familiarity with air freight, ocean freight, trucking, customs clearance, or warehouse coordination is a plus.
- Able to coordinate with customers, overseas agents, carriers, truckers, customs brokers, and warehouses.
- Comfortable handling shipping documents such as invoices, packing lists, bills of lading, airway bills, and delivery orders.
- Strong follow-up skills, problem-solving ability, and sense of responsibility.
Pay: $20.00 - $26.00 per hour
