What are the responsibilities and job description for the Administrative Support Specialist position at Distribution Management?
- Answer and direct calls to the appropriate person or take a message from the caller
- Greet visitors; determine nature and purpose of visit, and assist with completion of check-in procedures
- Receive all deliveries and ensure receipt of all packages by employees
- Purchase postage supplies and maintain monthly log
- Sort and distribute all mail and send certified mail receipts as requested
- Create shipping labels for all outgoing packages or envelopes and log tracking information
- Maintain weekly courier pick-up schedule and log packages for billing purposes
- Support the Facilities Supervisor to promote and implement employee engagement initiatives and events
- Assist Human Resources with welcoming new employees by creating name plates and welcome kits
- Ensure lunches and snacks for meetings and guests are thoughtfully prepared and attractively arranged
- Create and maintain the internal portal. Update postings related to employee services, wellness, charity drives and other announcements
- Schedule travel arrangements for employees when requested
- Foster relationships with vendors in order to enhance services and discounts for employees
- Assist the executive team with various tasks and projects as needed
- Order shipping and office supplies as needed
- Demonstrates a positive and productive attitude
- Excellent attendance and punctuality history
- Promote a welcoming environment during normal business hours (M – F, 8:00 – 5:00, on-site)
- Must be able to multitask and have an eye for detail
- Active Missouri notary or be willing to obtain notary status within the first year of employment
- Experience with the Microsoft Office suite, VOIP phone systems ,and other office equipment
