Responsibilities
- Manage day-to-day operations for a growing custom home building company
- Act as the right hand to ownership, keeping projects, timelines, and priorities organized and on track
- Coordinate with project managers, vendors, subcontractors, and clients to ensure seamless communication across all jobs
- Assist with project scheduling, timelines, and overall workflow management
- Organize and maintain internal systems, documents, contracts, and job files
- Support financial tracking, including invoices, budgets, and draw schedules
- Help prepare client-facing materials, proposals, and presentations
- Oversee administrative tasks such as email management, calendar coordination, and meeting scheduling
- Identify areas for improvement within operations and help implement more efficient systems and processes
- Step in where needed—this is a hands-on role in a fast-paced, growing company
Qualifications
- 2 years of experience in an executive assistant, operations, or administrative role (construction or real estate experience is a plus)
- Highly organized with strong attention to detail and the ability to manage multiple projects at once
- Self-starter with a proactive mindset and strong problem-solving skills
- Excellent communication skills, both written and verbal
- Ability to thrive in a fast-paced, ever-changing environment
- Strong time management skills with the ability to prioritize effectively
- Comfortable working closely with leadership and handling confidential information
- Proficient in Google Workspace (Docs, Sheets, Drive) and/or Microsoft Office
- Experience with project management or construction-related software is a plus
- Positive, team-oriented attitude with a willingness to jump in wherever needed
