At Disbennett Wealth Management, we believe our success is built on trust, exceptional service, and a genuine commitment to improving the lives of our clients. We are looking for an Office Administrator who shares those beliefs and understands that every interaction—whether answering the phone, welcoming a client, or supporting a teammate—helps shape the experience our clients receive.

This is much more than an administrative position. It is an opportunity to become an integral member of a close-knit team that genuinely enjoys working together, holds itself to high standards, and believes in always doing what's right for our clients and one another. The ideal candidate is someone who naturally looks for ways to help, takes ownership of their work, values integrity, communicates with kindness and professionalism, and takes pride in creating an organized, welcoming environment where both clients and teammates feel supported.

We are looking for someone who is dependable, adaptable, and motivated by being part of something bigger than themselves. If you are energized by serving others, enjoy learning new things, embrace continuous improvement, and appreciate being surrounded by people who work hard while supporting one another, we'd love to meet you.

Primary Responsibilities

Client Experience

Create an environment where every client feels welcomed, valued, and confident they are receiving an exceptional experience.

  • Welcome clients and visitors with warmth, professionalism, and genuine hospitality.
  • Answer incoming calls promptly and professionally while ensuring clients receive timely assistance.
  • Prepare meeting spaces that reflect the professionalism and attention to detail our clients expect.
  • Build positive relationships with clients through thoughtful communication, responsiveness, and follow-through.
  • Recognize opportunities to exceed expectations by anticipating client needs whenever possible.

Administrative Support

Help create an organized and efficient office that allows every team member to perform at their highest level.

  • Provide administrative support to the Financial Advisors, Director of Operations, and Client Service Associate.
  • Coordinate schedules, meetings, and administrative projects while balancing multiple priorities.
  • Prepare client meeting materials with a high level of accuracy and attention to detail.
  • Organize electronic and paper files to ensure information is complete, secure, and easily accessible.
  • Manage office supplies, vendor relationships, and day-to-day office operations.
  • Take ownership of assigned responsibilities while remaining flexible and willing to assist wherever needed.

Team Collaboration

Success at Disbennett Wealth Management is built on collaboration. Every member of our team is willing to step outside of their primary responsibilities when needed to help the team succeed.

  • Communicate openly, respectfully, and professionally with teammates.
  • Support others during busy periods and contribute to a positive, solutions-focused work environment.
  • Share ideas that improve efficiency, strengthen client service, and simplify processes.
  • Embrace new technology, procedures, and opportunities for professional growth.
  • Maintain the highest level of confidentiality and professionalism when handling client and company information.

Qualifications

Beyond experience and technical skills, we're looking for someone whose character reflects the way we serve our clients.

The ideal candidate:

  • Naturally notices what needs to be done without waiting to be asked.
  • Takes personal ownership and follows through on commitments.
  • Finds satisfaction in helping others succeed.
  • Thrives in a collaborative environment where everyone contributes to the team's success.
  • Values honesty, professionalism, and earning the trust of others.
  • Pays close attention to details because they understand that small things often make the biggest difference.
  • Welcomes feedback and continually looks for ways to improve.
  • Remains calm, positive, and solution-oriented when priorities change.
  • Treats every client and coworker with respect, empathy, and kindness.
