SPANISH INTAKE COORDINATOR

JOB SUMMARY:
The Spanish Intake Coordinator is the principal aide to the Director of Intake for the Spanish Line and assists with supervision of Bilingual Staff. The Spanish Line functions as a phone line for individuals who speak Spanish and includes Spanish Reception calls, Spanish Community Intakes, and Spanish Institutional Intakes.
The incumbent in this position will assist the Intake Director with case assignments, team referrals, training of Bilingual Intake staff, and case staffing for recommendations of specific information and referral or for issue team referral. The Spanish Intake Coordinator will also conduct intake interviews with callers for possible investigation, advocacy or legal representation by Disability Rights Florida and complete any special assignments, including short-term assistance or outreach under the direct legal supervision of the Intake Director.
The Spanish Intake Coordinator has considerable current knowledge of information and resources, is skilled in research techniques and interviewing callers. This position is also responsible for assisting the Team Director with program development within Intake and will take the lead role in the development of Spanish internal templates, training materials, and planning professional development opportunities for Bilingual Intake staff.
Essential Duties:
- Ensures that the rights of people with disabilities as established by law and regulation, are enforced through the professional delivery of intake services.
- Ensures that the Spanish Line has staff coverage and Spanish emails, physical mail, and voicemails are processed in a timely fashion. This includes delegating translation tasks to Bilingual Intake and admin staff.
- Prepares and completes accurate and timely reports regarding requests, hours worked, travel and other administrative reports.
· Participates in regularly scheduled team meetings and in organizational events, collaborates on cross-team projects, and works to enhance the visibility of the organization and further the rights of individuals with disabilities.
- Provides education on disability issues to persons with disabilities and other stakeholders as assigned via written and verbal presentations, and materials.
· Carries out other such duties as may from time to time be required.
- Protects confidential information as well as records and follows organizational policy regarding security.
· Provides information, referral and technical assistance to individuals with disabilities and responds to requests for information from other service providers, agencies, or organizations.
· Conducts thorough intake interviews and collects necessary documentation to determine service eligibility and evaluate cases for further review.
· Analyzes information logged into database regarding intake services
in addition to logging complete and accurate information into the designated database with sufficient detail to guide further attorney or director review.
· Assists the Intake Director in managing the Spanish Line, including
training, planning, and scheduling Bilingual Intake staff, assigning
callers who request a Spanish-speaking specialist, and overseeing
Spanish-language materials.
· Must be able to travel to work-related outreach events, meetings
centers and offices.
Job Requirements - Knowledge Skills and Abilities
· Master’s degree, or an equivalent combination of education and significant experience in a working, paid or voluntary, social, human service, government, legal or health care environment.
· Must possess sufficient experience and knowledge to respond to complex service requests in a comprehensive manner.
· Ability to read, write and speak fluently and communicate effectively and professionally in English and Spanish, including a working knowledge of correct grammar, punctuation, spelling, and sentence structure.
· Demonstrated ability to analyze complex problems and develop effective solutions and demonstrated ability to present in a professional oral or written format.
· Ability to interview individuals, gather relevant information and documentation for use in determination of eligibility for investigation, advocacy or legal representation by Disability Rights Florida or information and referral services.
· Ability to interview individuals who are under duress, in crisis or may be difficult and gather necessary information.
· Ability to prioritize multiple tasks and adapt to changing priorities.
· Ability to provide quality service to individuals regardless of race, color, ethnicity, gender, disability, religion, sexual orientation, national origin, age, marital or familial status.
· Ability to evaluate and implement Disability Rights Florida policies and procedures.
· Demonstrated commitment to a culturally diverse environment, working with and understanding differing individual and cultural values and life experiences.
· Experience in working with persons with disabilities and persons from multi-ethnic communities to include presentations and public speaking.
· Experience in speaking with and interviewing individuals in stressful environments such as hospitals, nursing homes, courts, prisons, jails, or detention centers.
· Ability to listen patiently to callers who may be in stressful situations or have other complex communication issues.
· Strong computer skills including fluency in Microsoft Office products, especially Word and Excel, communication systems and data input and review.
Additional Skills & Abilities:
1. In an office environment, incumbent will sit for several hours each day at a seated station to access and use computers, email, mobile phones and related information technology.
2. Some lifting and carrying of files up to 10 pounds required.
3. Travel within the U.S. required.
