JOB SUMMARY:
Coordinates general office activities, accounts payable, and some human resources activities. The position also provides administrative support to the Executive Director, Director of Finance and Director of Legal and Advocacy Services.
ESSENTIAL DUTIES & RESPONSIBLITIES:
Office Functions:
a. Maintains office equipment inventory and supply inventory, orders maintenances and replacements, as necessary, and issues equipment to new hires.
- Administers the agency telephone system.
- Ensures smooth business operations by maintaining equipment at optimal standards.
- Provides training/assistance to staff in usage of office equipment.
e. Greet and assist customers as needed.
Human Resources:
a. Assists with job descriptions, postings, scheduling interviews, preparing standard list of questions, administering pre-employment tests. Tracks status of candidates and responds with follow-up letters at the end of the recruiting process. Maintain related records.
- Prepares new employee files and conduct new employee orientations.
- Ensures new hire paperwork is completed and processed. Submits online investigation requests and assists with new employee background checks. Assisting preliminary letters, performing reference checks.
- Prepare or update employment records related to hiring, transferring, promoting, and terminating.
- Ensures all labor law posters are up to date and posted as required.
Accounting:
a. Performs Accounts Payable processing.
- Reconciles credit statements of Executive Director, Director of Finance and Director of Legal and Advocacy Services.
- Reviews the account ledger daily and creates either a payment or deposit in MIP to ensure all accounting transactions are in the g/l and agree with the bank statement.
d. Assists the Director of Finance with benefit paperwork related to our 403B and Flexible Spending Accounts.
e. Reconciles credit card statements for Executive Director, Director of Finance, and Director of Legal and Advocacy Services.
f. Provides travel arrangements for staff and staff purchase requests.
Executive Director Support Functions:
a. Assist the ED with monthly Board Meetings, including, the agenda, travel arrangements for board members.
b.Assist ED with meetings, maintain calendar and send out notices.
c. Makes travel arrangements for board members and the Executive Director as may be needed.
d. Assist with staff engagement.
JOB QUALIFICATIONS AND REQUIRED SKILLS:
1. Minimum of five years of administrative experience.
2. Three years of human resource experience
3. Experience with accounts payable and payroll.
4. Strong computer skills including Office 365 (Outlook, Word, Excel, and Teams). and other programs.
5. Ability to work with and appropriately handle confidential and sensitive situations and materials.
6. Detail orientated and well organized.
7. Strong verbal and written communications skills.
8. High energy, positive attitude, flexibility, teamwork, and attention to detail.
9. Demonstrated ability to organize and prioritize multiple priorities and demands.
10. Must be able to work on weekends occasionally.
11. Required in office position. Non-hybrid.
