JOB DESCRIPTION

Summary/Objective:

The Office Administrator / Inventory Control Coordinator is responsible for supporting daily office operations and managing company inventory to ensure accurate material control and efficient workflow. This role plays a critical part in supporting installation teams and project managers by maintaining organized administrative processes and precise inventory tracking.

The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and understands the importance of accuracy, accountability, and organization in supporting field operations nationwide.

Essential Functions:

  • Manage daily office operations and administrative functions
  •  Answer phones, respond to emails, and coordinate internal communication
  •  Assist with scheduling, travel arrangements, and job documentation
  • Maintain digital and physical filing systems
  • Support leadership with reports, spreadsheets, and data entry
  • Assist with payroll documentation and time tracking as needed
  • Receive, track, and organize incoming materials and equipment
  • Maintain accurate inventory counts of cameras, access control components, DAS equipment, tools, and consumables
  • Prepare and stage materials for upcoming jobs
  • Coordinate material shipments to job sites nationwide
  • Conduct regular cycle counts and full inventory audits
  • Track purchase orders and reconcile packing slips
  • Identify shortages and coordinate reordering with leadership

Work Environment/Physical Demands:

This job operates in an office and warehouse environment. This role routinely uses standard office equipment such as computers, phones, and copy machines. Must be able to lift up to 40 pounds and assist with material handling as needed.

Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are generally Monday through Friday 8-5, during normal hours of operation.

Travel:

Minimal travel required. Occasional trips to shipping locations or project sites may be necessary.

Required Education, Experience & Abilities:

· 2 years of experience in office administration, inventory management, or similar role
· Proficiency in Microsoft Office (Excel, Word, Outlook)
· Experience tracking inventory using spreadsheets or inventory software
· Strong organizational and documentation skills
· Ability to manage shipping and receiving logistics
· Ability to lift up to 40 lbs

 

Preferred Qualifications:

· Experience in construction, low-voltage, or technology-related industry
· Familiarity with surveillance, access control, or DAS equipment
· Experience with QuickBooks or similar accounting software
· Prior experience supporting field service teams
