Job Position Independent Living Specialist

Overview
The Administrative Assistant is responsible for providing support to the office including but not limited to: administrative, bookkeeping and payroll, human resources, and program support to ensure operations of Disability Resource Network.
Key Responsibilities
General Administrative
Provides administrative support to the Executive Director and others, as assigned. Deals with a diverse group of external callers and visitors as well as internal contacts. Answers telephones and retrieves, responds to, or forwards messages from the Auto Attendant. Schedules and organizes complex activities such as meetings, travel, and special events and activities. Records and distributes meeting minutes. Implements office policies and procedures; prepares and maintains documentation. Measures results against standards and makes necessary adjustments. Types and designs general correspondence, memos, charts, and presentations. Composes and posts social media on behalf of the organization. Manages master office calendar and conference room calendar. Runs errands for the office including: post office, food pick up, and procurement of office supplies. Conducts inventory and orders office supplies. Sorts and distributes mail
Bookkeeping and Payroll
Verifies charges, reconciles credit card purchases, and enters purchases into QuickBooks. Handles basic bookkeeping duties including accounts payable (A/P). Uses QuickBooks to maintain employee personnel and pay info. Reviews time sheets and prepares payroll for processing. Prepares financial reports.
Human Resources
Assists the Executive Director in carrying out various human resources programs and procedures. Administers mileage reimbursement program. Maintains company organization charts and employee phone directory. Conducts employee on-boarding and off-boarding. Maintains employee confidentiality and compliance with HIPAA.
Program Support
May be responsible for planning, directing, marketing, and participating in projects and programs. Coordinates logistics, processes participant registrations, attends events, and handles setup and teardown, as needed.
Other
Interacts with a diverse array of people and staff in a professional manner. Provides support to the team by being cross-trained on essential functions. Contributes to team effort by accomplishing other duties as needed. Regular and punctual attendance is required.
Qualifications:
Bachelor’s Degree preferred. Minimum of 3 years of relevant experience required. Must have commitment to independent living philosophy. Must have basic knowledge of computer operations. Personal lived experience with a disability preferred. Upon request, the Center will provide staff members with disabilities reasonable job accommodations or modifications. Must be able to pass a background check.
Knowledge
The incumbent must have proficient knowledge in the following areas: Personnel and client records maintenance, retention, and destruction including HIPAA compliance and records confidentiality; office administrative procedures and ability to operate standard office equipment; a variety of computer software applications in word processing, spreadsheets, databases, and presentation software; and State and federal employment laws a plus.
Skills
The incumbent must have the ability to: Use computer programs to create spreadsheets, documents and e-mail at a highly proficient level (especially MS Office, MS Excel, and QuickBooks); use attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines; perform analysis in order to gather and summarize data for reports and find solutions to various administrative problems; interact interpersonally with others to handle sensitive and confidential situations; demonstrate poise, tact, and diplomacy; manage time wisely, prioritize tasks, and be able to multi-task; communicate clearly and concisely, both orally and in writing; perform well both in team and individual settings; deal with irate customers or employees; and remain calm in stressful situations.
