The Diocese of Altoona-Johnstown is seeking a full-time Administrative Assistant to support the Penn State Faith Center Campus Ministry. This position plays a vital role in ensuring the Faith Center remains welcoming, organized, and efficiently managed environment for students, priests, parishioners, donors, and the community.
The role serves as a bridge between ministry life and administrative operations, providing support in scheduling, donor relations, financial recordkeeping, communications, and office organization.
Primary Responsibilities Include:
- Coordinate complex scheduling for center events, student meetings, and priest availablity.
- Manage daily communications, including phone and email inquiries from students, parishioners, the public, and diocesan offices.
- Perform general office administrations, including filing, correspondence, ordering supplies, and record maintenance.
- Maintain donor databases and communication lists to ensure accuracy and timely outreach.
- Oversee financial recordkeeping, including accounts payable, deposits, payroll data, and audit documentation.
- Utilize QuickBooks and other electronic accounting systems for financial tracking.
- Assist with fundraising efforts and donor stewardship initiatives.
- Maintain strict confidentiality of financial, donor, and student records.
- Provide administrative support that enables ministry staff to focus on their pastoral mission.
- Serve as a welcoming and organized presence for all who interact with the Faith Center.
- Perform other duties as assigned in support of the mission.
Qualifications:
- Must be actively practicing Roman Catholic who supports the teachings of the Catholic Church and abides by the Diocesan Code of Conduct.
- Ability to complete all required background clearances and diocesan training.
- Associates degree in business or related field with at least 2 years' of related experience, or equivalent administrative experience.
- Experience with QuickBooks or similar electronic accounting systems.
- Strong communication, organizational, and time-management skills.
- Ability to maintain high levels of confidentiality, professionalism, and integrity.
- Strong attention to detail and ability to manage multiple priorities.
