St. John Gualbert Cathedral is seeking a full-time Administrative Assistant to provide comprehensive administrative and clerical support to the parish office and Parish Pastor.
This position serves as a welcoming first point of contact for parishioners, visitors, clergy, and community members while supporting the daily operations, communications, records management, and ministry needs of the parish office.
Schedule:
Full-time, 36 hours per week | Monday through Friday
Primary Responsibilities Include:
- Welcome visitors and answer telephone and email inquiries in a professional and friendly manner.
- Coordinate the preparation and distribution of the parish bulletin and Proclaim newsletter.
- Maintain and update the parish website and social media platforms.
- Manage parishioner census, contribution, and sacramental records.
- Maintain Mass intention schedules and parish event calendars.
- Coordinate hall rental and parish event scheduling.
- Prepare offertory envelopes and support parish communications.
- Assist with annual reports, special projects, and fundraising activities.
- Support the religious education program and other parish ministries.
- Attend staff and council meetings as needed.
- Perform other related administrative duties as assigned.
Qualifications:
- Commitment to and support for the mission and values of the Catholic Church.
- Associates degree in related field and at least 2 years' of relevant administrative experience, or 5 years' equivalent experience.
- Strong communication, organizational, and time-management skills.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, Teams, and other related systems.
- Experience with website and social media management preferred.
- Ability to maintain confidentiality, professionalism, and integrity.
- Ability to manage multiple priorities and meet deadlines.
- Successful completion of all required background clearances and diocesan training.
Physical Requirements:
Ability to lift up to 25 pounds; sit, stand for extended periods; walk short distances; and perform repetitive keyboarding tasks.
