Key Responsibilities
- Manage the executive’s calendar and schedule across time zones, ensuring meetings are properly prioritized and prepared for.
- Monitor and organize the executive’s inbox daily, flagging priorities, drafting replies, and maintaining clear communication systems.
- Coordinate travel logistics, including flights, accommodations, and itineraries.
- Track tasks and projects using internal tools (e.g., Asana, ClickUp, or Notion) to ensure deadlines are met.
- Serve as the executive’s right hand, anticipating needs and resolving issues before they arise.
- Conduct light research, compile notes, and summarize key points for decision-making.
- Draft and proofread correspondence, reports, and presentations.
- Manage recurring tasks such as expense tracking, invoicing, and vendor coordination.
- Maintain confidentiality and exercise discretion with sensitive business and personal information.
- Create systems and documentation to streamline workflows and improve communication efficiency.
- 2 years of experience as an Executive Assistant, Project Coordinator, or Operations Assistant.
- Strong written and verbal English communication skills.
- Proven experience managing calendars, inboxes, and complex schedules.
- Highly organized, detail-oriented, and proactive with follow-through.
- Tech-savvy and quick to learn new software tools.
- Able to work independently and adapt to shifting priorities.
- Must own and be able to use a working computer with high-speed internet.
- Must be ENGLISH-SPEAKING.
- Experience supporting founders, executives, or leadership teams.
- Background in startups, professional services, or tech environments.
- Familiarity with CRM tools and project management platforms.
- Comfortable handling light personal assistant duties.
