What are the responsibilities and job description for the LARGE FORMAT PRINT QUALITY AND LOGISTICS COORDINATOR position at Digital Design LLC?

The LEAD PRINT LOGISTICS COORDINATOR is responsible for all final step quality control, work inspection, packaging, documentation, and shipment coordination. The person in this position will ensure that finished products are packaged and shipped according to company and customer expectations.
In addition, the LARGE FORMAT PRINT QUALITY AND LOGISTICS COORDINATOR is responsible for proper handling of inbound shipments and associated documentation.
Essential Job Duties:
- Maintain accurate shipment records in ERP system
- Maintain proofs of delivery for customer pick-ups, internal deliveries, and external couriers in ERP system.
- Ensure that daily reports are run and reviewed including shipping reports from FedEx and our ERP system
- Analyze work orders, invoices, and shipment demand forecasts daily to estimate packaging, shipping, storage, and delivery requirements
- Ensure that FedEx and other carrier rates are correct on their invoices
- Responsible for daily incoming and outgoing, UPS, FedEx, USPS, and LTL & FTL pickups and deliveries
- Validate all finished goods in shipping, packaging, and the main warehouse are in accordance to quality standards
- Route and rate shipments, contact transporters, and arrange freight pick-ups and deliveries to the minimal cost and transit times
- Ensure that orders are shipped on scheduled ship dates and/or meet requested delivery dates
- Receive and inspect incoming materials, supplies, and returned goods against purchase orders, supply requisitions and return documents
- Work closely with customer service, sales, administration, and production on shipping issues. Communicate with customer service and the customer regarding all issues and solutions - this includes mis-shipments, credits, equipment, etc.
- Maintain internal communication with Production, Customer Service, and Scheduling regarding order shipment status, and/or any delays or changes in the shipment schedule
- Inspect physical condition of the shipping department, dock, vehicles, and equipment and initiate appropriate actions to remedy unsatisfactory findings.
- Communicate directly with customer service and clients as necessary to answer questions, relay shipping updates, and handle complaints calmly and efficiently.
- Be the Subject Matter Expert on all shipping policies, procedures, FedEx and other carrier systems.
- Work closely with shipping carriers and third-party providers (Federal Express, UPS,) on shipping/service issues.
- Ensure that carriers are arriving and leaving on time as scheduled
- Maintain appropriate inventory levels of cardboard boxes and other shipping supplies.
- Must be committed to a high standard of safety and be willing to comply with all safety laws and all safety policies and rules.
- Ensure that forklift safety protocol is implemented and followed.
- Review delivery status of packages using FedEx tracking automation to ensure that packages are on track for delivery per service requirements.
- Ensure that proper handling and documentation is completed for all deliveries including pallets and freight deliveries including labeling and chain of custody for 3rd party shipping companies.
- Contribute to continuous improvement process and help develop standard operating procedures (SOPs)
- Crosstrain with production print and finishing as time allows.
- Maintain effective working relationships with company employees, suppliers, and customers.
- Promote and maintain the professional image and reputation of the company and ensure timely problem resolution and customer satisfaction.
- All other duties as assigned.
Attendance Requirements: Must maintain acceptable attendance and be able to work weekends, holidays and/or additional time as necessary.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is position requires moderate physical exertion including: sitting 10%, standing and walking 80%, and squatting, kneeling, or twisting 10% and involves the following requirements:
- Lifting Requirements of 50lbs and 20lbs frequently
- Visual Requirements include the ability to read work orders, blue prints, schematics, measuring devices, computer printouts and spreadsheet applications
- This position may require the use of personal protective equipment which could include safety glasses and safety shoes, depending on the nature of the work
Minimum Qualifications
- Must have a high-school diploma and at least three years of shipping and receiving experience or related printing logistics experience
- Must be able to read, write, and speak in English and work in a team environment.
- Ability to navigate, input data, and look up information on a manufacturing business system. Prior experience with manufacturing computer system or ERP system preferred.
- Must be able to follow instructions and adhere to all the company’s safety policy procedures and recommendation.
- Able to drive a forklift and pick orders to be palletized.
- Logical processing with attention to detail.
- Basic mathematical skills necessary
