DiCello Levitt, a nationally prominent, Chambers and Benchmark-rated law firm with offices nationwide, is seeking a full-time Intake Specialist at the Firm’s Cleveland location in Mentor, Ohio.

Role and Responsibilities
As the initial point of contact with new clients, the Intake Specialist plays a vital role in the Firm’s legal operations. This role requires exceptional communication skills, empathy, and professionalism. The Intake Specialist will gather essential information, build rapport with new clients, and ensure a smooth transition into the Firm’s case management pipeline
Responsibilities will include:
- Serve as the initial point of contact with new clients via phone and email inquiries.
- Conduct thorough intake interviews to collect relevant facts related to the client’s case.
- Explain the Firm’s services, intake process, and next steps clearly and professionally.
- Accurately document all case related facts, supporting evidence, and keep all information organized throughout the onboarding process.
- Enter intake data into the Firm’s case management system (CMS) timely, accurately, and efficiently.
- Ensure clients feel supported, informed, and valued throughout the intake process.
- Work closely with attorneys, paralegals, and legal assistants to transition cases smoothly.
- Additional duties as assigned.
Desired Skills and Qualifications
- The successful candidate should have the following qualifications:
- Proficient in English (oral and written); bilingual (English/Spanish or other language) beneficial.
- Proficient inquiry and active listening skills.
- Effective communication skills and demonstrated ability to engage with empathy.
- Familiarity with legal and/or medical terminology.
- High attention to detail and accuracy.
- Good organizational and multi-tasking abilities.
- Problem-solving skills.
- Ability to stay calm and employ compassion when speaking with emotional individuals.
Education and Experience
- Three (3) years of experience in a customer-service focused role at a law firm or call center.
- Ability to manage high call volumes and multitask in a fast-paced environment.
- Experience with legal case management systems (CMS) (e.g., Litify, Needles).
- High School diploma or equivalent required; additional qualifications beneficial.
- Experience with Microsoft Office applications, specifically Outlook, Word, Excel, and PowerPoint.
