Job Duties and Responsibilities:
- Manage the reception operations, acting as the first point of contact for clients and potential clients
- Greet visitors to the firm
- Answer phone
- Provide consultation information to Potential Clients
- Maintain Clio Grow and Clio Manage
- Perform new client intake
- Sell and schedule consultations for Potential Clients
- Schedule appointments on Microsoft Outlook calendar
- Register attorneys for events and calendar on Microsoft Outlook
- Manage agendas, mail, email, and calls for the President and Associate Attorneys of the Firm
- Create matters for new clients and keep the administration system updated
- Send Welcome Letter to new clients
- Draft Retainers
- Communicate with U.S. Customs and Border Protection (CBP) to determine the Paralegal Specialist or Import Specialist reviewing a case
- Coordinate calls with clients and U.S. Federal Government Agencies
- Assist with Firm Newsletter (in Mailchimp)
- Assist with the setup of Webinars (script, blast for contacts, registration, reports, presentation, calendaring)
- Create presentations (knowledge of Microsoft PowerPoint)
- Assist with navigating government websites
- Order and track office supplies
- Organize and track swag bags inventory
- Mail prizes to the winner of Instagram trivia
- Update Blogs
- Be a team player!
Qualifications:
- Fluent in Spanish & English
- Microsoft Office, Outlook, Word, PowerPoint, Excel
- Internet Research Abilities
- Sales Savvy
- Customer Service skills
- Bachelor’s Degree or substantial and relevant work experience may be substituted for a Bachelor's Degree.
