Job Summary:
The Front Desk Coordinator is responsible for managing the daily administrative operations of the office in a home healthcare setting. This role serves as the central communication hub, handling high call volumes from hospitals, physician offices, staff, and patients, while ensuring timely coordination of information and maintaining an organized workflow.
Key Responsibilities:
- Answer and manage a high volume of incoming phone calls from hospitals, physician (MD) offices, patients, and field staff
- Route calls appropriately, take detailed messages, and ensure timely follow-up
- Monitor and respond to emails in a prompt and professional manner
- Receive, review, and distribute incoming faxes (referrals, orders, clinical documents, etc.)
- Communicate effectively with clinical staff regarding patient needs, updates, and coordination of care
- Assist with intake coordination by relaying referral information to appropriate team members
- Maintain accurate logs and documentation of communications
- Support administrative tasks such as filing, data entry, and document management
- Ensure confidentiality and compliance with HIPAA regulations
Qualifications:
- High school diploma or equivalent (Associate’s degree preferred)
- Previous administrative or front desk experience (home healthcare or medical office preferred)
- Bilingual (English/Spanish) required
- Strong communication and organizational skills
- Ability to handle multiple phone lines and multitask efficiently
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with fax and email management in a fast-paced environment
