We are seeking a highly organized, high-energy Real Estate Administrative Assistant to support daily operations for a growing real estate business. This role combines administrative support with transaction coordination and requires a strong “get it done” mindset with a focus on solutions over problems.
Key Responsibilities:
- Manage and oversee transaction coordination from contract to close
- Prepare documents for signatures and ensure all contract paperwork is complete and compliant
- Communicate with clients, lenders, attorneys, and vendors throughout the transaction process
- Track deadlines, contingencies, and ensure all timelines are met
- Schedule appointments and manage calendars
- Maintain CRM, databases, and follow-up systems
- Assist with MLS input, listing setup, and reporting
- Keep office organized and assist with general administrative tasks
Marketing & Client Experience:
- Manage social media postings and assist with marketing materials
- Create and prepare flyers, listing sheets, and direct mail pieces
- Assist with client outreach and marketing campaigns
- Handwrite client communication as part of client experience efforts
Schedule:
Monday–Friday
- 8:30–4:30 (working lunch)
or
- 8:30–5:00 (30-minute lunch)
This is a full-time, in-office position (40 hours per week) with occasional errands outside of the office as needed.
Occasional evening or weekend tasks may be required for business needs or events.
Requirements:
- High school diploma or equivalent required; additional education is a plus
- 1 year of administrative or customer service experience preferred
- Strong organization, multitasking, and communication skills
- Professional, reliable, and detail-oriented
- Proficient with Google Workspace (Drive, Docs, Sheets, Calendar, Gmail) and able to learn new systems quickly
- Comfortable using or learning CRM systems
- Ability to handle confidential client information with discretion
- Reliable transportation for occasional errands or document delivery
- Familiarity with real estate processes and terminology is a plus
- Must be able to pass a background check and pre-employment drug test
- Must be willing to obtain a North Carolina real estate license within 6 months (if not already licensed)
Preferred Skills:
- Experience with real estate transaction coordination or compliance
- Knowledge of social media marketing for real estate
- Strong customer service skills, including the ability to handle challenging situations professionally
Compensation:
- Salary: $28,000–$32,500 per year
- Closing bonuses will be implemented once employee is licensed
