About the Role: DeTemple is a plumbing/HVA/mechanical company seeking a reliable, positive, and customer-focused individual to serve as the welcoming first point of contact for our clients and support our team. This multifaceted role combines front-desk reception, customer service, light administrative tasks, and office support in a small, collaborative environment where your contributions make a real difference every day.
Key Responsibilities
- Answer and route incoming calls on a multi-line phone system to the appropriate team members
- Greet and assist walk-in customers professionally
- Communicate billing, service policies, and procedures clearly to new and existing customers
- Collect necessary customer information for service requests and accurately enter it into our operations software
- Secure and process credit card payments for services
- Confirm, schedule, and reschedule appointments with customers
- Handle customer inquiries, concerns, and escalated situations calmly—consulting with management as needed to resolve issues
- Perform data entry for purchase orders, service calls, projects, and other operational records
- Maintain electronic and paper filing systems
- Monitor and reorder office supplies to ensure availability
- Perform basic maintenance on office equipment (printers, copiers, etc.)
- Handle incoming mail: meter outgoing mail, sign for packages, distribute mail daily
- Keep the office kitchen clean and stocked daily; empty shredding/recycling bins
- Provide general assistance to other team members as requested
- Perform additional duties as assigned to support smooth office operations
Qualifications/Skills
- High school diploma or GED required
- Tech-savvy with solid proficiency in Microsoft Office (Word, Excel, Outlook)
- Exceptional customer service skills with a positive attitude and pleasant, welcoming demeanor
- Basic mechanical aptitude or willingness to learn enough to communicate effectively with customers and technicians
- Fluent in English with excellent verbal and written communication skills
- Proven ability to stay calm and diffuse tense situations through active listening and empathetic communication
- Strong problem-solving and prioritization skills with a proactive mindset to anticipate needs, manage multiple responsibilities, and ensure timely completion
- Familiarity with industry and the Portland metropolitan area, preferred.
- Strong organizational skills and keen attention to detail
- Fully proficient in English (spoken and written)
- Reliable transportation and ability to report to the office daily, on time, and ready to work
- Physically able to lift/move office supplies up to 30lbs and sit for extended periods
- Must successfully pass a mandatory background check and drug test
