Salary: $28.00 - $30.00Job SummaryThe Billing Specialist & Assistant Case Manager plays a dual role supporting both administrative billing operations and client case management within DTRs Federal Bureau of Prisons (BOP) and U.S. District Court programs. This position ensures accuracy in billing, scheduling, and client documentation, while maintaining compliance with federal and contractual requirements. The ideal candidate is detail-oriented, organized, and comfortable managing multiple priorities in a fast-paced environment. Strong communication, billing accuracy, and client coordination skills are essential to ensure seamless service delivery and timely invoicing.Key ResponsibilitiesClient & Case Management SupportSchedule and coordinate client intakes, assessments, and serviceMaintain and update client records in the Electronic Health Record (EHR) system in compliance with BOP and Pretrial standards.Track client participation, progress, and attendance to ensure services are delivered and billed accurately.Serve as an administrative point of contact for case coordination among counselors, probation officers, and partner agencies.Assist with quality assurance by ensuring documentation completeness prior to submission or invoicing.Billing & Administrative OperationsPrepare and process invoices for BOP and Pretrial programs, ensuring alignment with contract codes and requirements.Review and validate treatment requests, service authorizations and appointment logs for billing accuracy.Collaborate with Accounting to resolve billing discrepancies or rejectedSupport compliance and audit preparation by maintaining organized and verifiableCommunication & CoordinationCommunicate professionally with probation and pretrial officers, clients, and internal teams regarding schedules, services, and documentation needs.Participate in team meetings to ensure alignment between clinical and administrativeProvide timely responses to inquiries from staff, auditors, or contractingCompliance & Quality ControlSupport DTRs adherence to federal contract and DHCS documentationMonitor EHR and billing systems for accuracy, ensuring all service notes and data are audit-ready.Assist leadership in preparing documentation for contract renewals, audits, or monitoring visits.QualificationsEducation & ExperienceAssociates or bachelors in business administration, Human Services, or a related field preferred.Minimum 2 years of experience in a billing, administrative, or case management support role.Prior experience in a healthcare, behavioral health, or government-contracted environment preferred.Skills & CompetenciesHigh proficiency in Microsoft Office (Word, Excel, Outlook); experience with EHR systems preferred.Strong attention to detail and accuracy in documentation andExcellent communication and organizational skills; ability to multitask and meetKnowledge of billing procedures and federal compliance requirementsStrong critical thinking and problem-solvingAbility to work both independently and collaboratively with multidisciplinary teamWork EnvironmentThis position operates in a professional office environment and requires routine interaction with clinical and administrative staff.
