Job Summary
We're seeking a seasoned Sales Intake Coordinator with proven consultative sales expertise. You'll be the critical first point of contact for dentists contemplating $1M–$5M office renovation, design, and build projects. This is a strategic sales role…you'll own the discovery process, qualify opportunities, guide prospects toward informed decisions, and close design service contracts.
You're not a scheduler or order processor. You're a trusted advisor and problem solver who confidently engages accomplished professionals, thinks critically about complex situations, and knows how to sell sophisticated services through consultative selling.
Responsibilities
- Conduct structured intake discovery process, asking investigative questions to understand each client's goals, timeline, budget constraints, and decision-making process
- Qualify opportunities and assess project fit; recommend appropriate service offerings and bundles when aligned with client needs
- Close design service contracts using DocuSign; ensure all client documentation is properly organized and thorough
- Maintain disciplined pipeline management in HubSpot: track opportunities from initial contact through handoff, providing detailed notes and context for Practice Advisors and design teams
- Nurture prospects between calls with educational materials, case studies, and resources to build confidence and guide them toward commitment
- Proactively engage inbound Marketing Qualified Leads (MQLs); reach out to prospects who haven't yet scheduled a call and convert interest into booked consultations
- Participate in daily sales huddles, monthly success meetings, and cross-functional discussions; share insights on prospect feedback to refine messaging and service positioning
- Introduce qualified clients to appropriate Practice Advisors and continue nurturing relationships with prospects not yet ready to move forward
Key Qualifications
Required:
- 3 years of direct consultative B2B or professional services sales experience with a proven ability to close complex, solution-based service deals (not transactional sales or operations/support roles)
- Demonstrated track record selling to C-level or high-level professionals (doctors, practice owners, executives, business owners) in high-stakes, multi-stakeholder situations
- Strong critical thinking and investigative mindset; ability to ask probing questions, identify root causes and pain points, and guide clients toward solutions without prescribing prematurely
- Experience managing longer, multi-touch sales cycles with disciplined follow-up and pipeline management
- Proficiency in CRM platforms (HubSpot, Salesforce, or equivalent); ability to maintain accurate records, manage lead queues, and provide clean handoffs to downstream teams
- Professional confidence and credibility when engaging with accomplished professionals; ability to position yourself as a trusted, knowledgeable advisor
- Excellent organizational and written/verbal communication skills
Preferred:
- Bachelor's degree in Business, Communications, Marketing, Sales, or related field
- Background in professional services sales (architecture, interior design, consulting, healthcare, construction, or related industries)
- Experience selling design-related or renovation services to high-level clients
- Familiarity with DocuSign and HubSpot
- Track record mentoring or coaching junior team members
- Exposure to project management or understanding of design/construction timelines and deliverables

As Intake Coordinators gain experience and deepen their understanding of our clients, services, and design process, they may have the opportunity to advance into a Practice Advisor role. In this position, you would oversee the dental office design journey from start to finish, serving as the primary liaison between the client and our internal design teams to ensure each project runs smoothly and meets the doctor’s vision. Practice Advisors play a key role in guiding clients through the process while helping bring successful dental practices to life.
Our 14-week onboarding program includes shadowing Practice Advisors, learning our equipment product line, attending on-site installations, and observing clinical training sessions. By the time you're running intake independently, you'll have a clear picture of what the Practice Advisor role involves and whether it's the right next step for you.
