We're looking for a detail-driven, proactive Marketing Administrator to join our team on a fixed-term contract covering maternity leave. You'll step into an established marketing and proposals function, working closely with our Marketing Manager and Business Development team on everything from proposals and RFPs to our website, social media, and marketing materials.
This is a great opportunity for someone who can hit the ground running, take real ownership from day one, and keep our marketing engine running smoothly during the coverage period. A handover with the current team member will be provided to ensure a smooth transition.
What You'll Do
Proposals & Business Development
- Review incoming RFPs and solicitations and compile key info for internal teams
- Build and maintain proposal outlines, timelines, and Job Orders
- Track sub-contractor proposal materials and keep everyone on schedule
- Proofread, format, and finalize proposal documents for submission
- Coordinate with estimators, purchasing, and other teams to keep proposals moving
- Monitor daily leads through RFP databases and flag new opportunities
Marketing Support
- Maintain and update marketing materials — portfolios, boilerplate, case studies
- Support website updates, social media, and advertising efforts
- Help manage our sales and marketing database (Insightly)
- Maintain our project photo library and archives
- Keep the Sales Dashboard current with opportunities and results
What You Bring
- 2 years of marketing and/or proposal experience
- Sharp writing, editing, and proofreading skills
- Comfortable juggling multiple deadlines in a fast-paced environment
- Ability to quickly get up to speed on an existing proposal pipeline and marketing program
- Expert-level MS Office skills (Access, PowerPoint, Visio, Word, Excel, Publisher, Project)
- Strong working knowledge of Adobe Acrobat Pro
- Familiarity with FAR and government proposal requirements a plus
- Experience with Procore and/or Concur a plus
- Adobe Illustrator/Photoshop skills a plus
- Bachelor's or Associate degree in Marketing, Communications, Business, or related field
