D&P is looking for a highly organized and detail-oriented Junior Contract Administrator to support the Contract Administrator in the day-to-day administration and financial tracking of projects and contracts.
This role sits at the intersection of Project Management, Accounting and Contract Administration and requires strong numerical skills, excellent attention to detail and advanced Excel capabilities.
The successful candidate will help ensure that project and contract information is accurate, properly documented and kept up to date throughout the project lifecycle.
Primary Duties and Responsibilities
- Support the Contract Administrator with the preparation and administration of project contracts and related documentation.
- Maintain and update contract and project tracking files.
- Assist with the compilation and review of project estimates and budgets.
- Prepare and update Excel-based financial reports, trackers and project summaries.
- Track contract values, project budgets, commitments, invoices, change orders and other financial information.
- Support the preparation and distribution of project budgets following project award.
- Assist with subcontract administration and verify that required documentation is complete.
- Support the preparation of cost proposals and change orders.
- Review project data and identify discrepancies or missing information.
- Maintain accurate and organized contract files and project records.
- Monitor deadlines and follow up with Project Managers and other departments to obtain required information.
- Support the Contract Administrator in preparing reports and documentation for management.
- Assist with general contract administration and other related tasks as required.
Required Qualifications
- Bachelor’s degree in Business Administration, Finance, Accounting or a related field, or equivalent experience.
- Advanced proficiency in Microsoft Excel and strong overall Microsoft Office skills.
- Excellent numerical and analytical skills.
- Comfortable working with budgets, costs, invoices and financial data.
- Strong attention to detail and accuracy.
- Excellent organizational skills and ability to manage multiple priorities.
- Clear written and verbal communication skills.
- Proactive, reliable and comfortable following up with multiple stakeholders.
- Ability to work collaboratively with Project Management, Accounting and other departments.
Preferred Qualifications
- Previous experience in finance or accounting.
- Experience in a project-based, construction, fabrication or similar environment.
- Familiarity with fixed-price contracts, cost accounting or project invoicing is a plus.
