JOB SUMMARY:
This Executive Assistant position reports to the Equal Opportunity Program. The Executive Assistant provides administrative and clerical support to the Human Resources Department to ensure efficient daily operations. This role may support recruitment, onboarding, personnel records, compliance, and employee communications while maintaining confidentiality and professionalism. The Executive Assistant serves as a first point of contact for employees and applicants and ensures consistent application of HR procedures and timelines. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the district.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
1. Assist with the hiring process by posting vacancies, scheduling interviews, and verifying credentials.
2. Screen initial receipt of applicant background check and MVR requests; requesting additional information when directed.
3. Manage new employee onboarding, including collection of all employment paperwork, tracking pre-employment requirements, processing paperwork, and providing timely communication to new hires.
4. Maintain accurate and confidential personnel files in HRIS in accordance with district policy and legal requirements.
5. Maintain complaint files during ongoing investigations.
6. Serve as a point of contact for employees by responding to routine HR inquiries and directing complex issues to the appropriate staff.
7. Coordinate and manage ongoing projects under the direction of department leadership.
8. Compile and integrate data from multiple sources, including department-specific systems, to produce professional reports, documents, and presentations.
9. Assist with data entry and record retention requirements.
10. Other duties, as assigned.

Salary : $43,347 - $50,523
