Dermico is seeking a reliable, detail-oriented Administrative Assistant to support day-to-day front-desk and administrative functions in our lab. This role is the first point of contact for visitors and team members and is essential to keeping lab workflows organized, accurate, and on time.
The Administrative Assistant focuses on reception, documentation, data entry, and real-time scribing of lab activities under the direction of scientific and clinical staff. This is an excellent opportunity for someone who wants to build experience in a lab environment while developing strong operational skills.
Duties and Responsibilities:
Front desk & reception
- Greet and check in visitors, participants, vendors, and staff.
- Manage incoming calls, messages, and the lab inbox; route requests appropriately.
- Maintain a welcoming, professional, and compliant front-of-house environment
Documentation and Scribing
- Capture notes during lab procedures, visits, and internal meetings as directed.
- Complete templates and forms accurately and in real time.
- Ensure documentation is complete, legible, and filed in the correct systems.
Data Entry and Records Management
- Enter participant, specimen, product, and/or study data into internal systems.
- Verify data accuracy; flag inconsistencies for review.
- Maintain orderly digital and physical records following SOPs.
Scheduling and Coordination
- Support appointment scheduling and calendar management for lab staff.
- Prepare visit packets, labels, and required paperwork ahead of sessions.
- Coordinate logistics for daily lab flow (room readiness, participant movement, etc.).
Lab Admin Support
- Assist with inventory tracking and restocking front-desk and documentation supplies.
- Keep common areas tidy and organized; escalate facility issues when needed.
- Support general operational tasks as assigned by lab leadership.
Required Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s a plus).
- Strong attention to detail and comfort doing repetitive accuracy-critical work.
- Clear communication and a professional, friendly presence.
- Basic proficiency with computers and common tools (Google Workspace/MS Office).
- Ability to follow SOPs and handle sensitive/confidential information appropriately.
- Comfortable in a clinical/lab environment (standing, light walking, busy periods).
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
