Job Summary
We are seeking a dynamic and highly organized Dermatology Administrative and Customer Service Lead to perform the administrative aspects of our dermatology practice. This is a working lead position where the individual will perform administrative roles as well as help direct the schedule and roles of other staff. This pivotal role combines administrative excellence with exceptional patient service, ensuring smooth clinic functions, compliance with healthcare regulations, and a welcoming environment for patients and staff alike. The ideal candidate will possess strong leadership skills, medical office experience, and a passion for delivering outstanding healthcare support. This position offers an exciting opportunity to participate in a dedicated team in a fast-paced, patient-centered setting while managing practice management tasks that drive efficiency and quality care.
Responsibilities
- Help facilitate smooth daily clinic operations, including patient scheduling, insurance verification and referrals and medical records management.
- Oversee patient management software, ensuring accurate documentation of medical records, treatment plans, and billing information in compliance with HIPAA and healthcare regulations.
- Coordinate with physicians to optimize workflow, manage patient flow, and ensure high-quality service delivery.
- Ensure compliance with all health regulation policies including OSHA, HIPAA privacy rules, and managed care requirements.
- Maintain excellent customer service standards by addressing patient inquiries promptly, resolving complaints efficiently, and fostering a welcoming atmosphere.
- Ensure patient schedules are booked in accordance with templates
Experience
- Proven experience in medical office management within dermatology or other specialty clinics; experience in dental or veterinary clinics is a plus.
- Demonstrated experience in healthcare teams in fast-paced environments.
- Strong background in healthcare practice management system is highly desirable.
- Prior experience with office management tasks such as scheduling, patient records handling, insurance verification and referrals, and staff coordination.
- Familiarity with medical terminology related to dermatology or general healthcare practices; acute care or hospital experience is advantageous.
- Excellent communication skills paired with a customer service-oriented approach to foster team collaboration and patient engagement.
