Position Summary

Denver Wealth Management (DWM) is seeking a highly organized, proactive, and service-oriented Office Manager to oversee the daily administrative operations of our firm while helping deliver an exceptional experience for our clients and employees.


This role serves as the administrative hub of the office, supporting firm leadership, advisors, employees, and clients through outstanding organization, communication, and execution. The Office Manager is responsible for ensuring the office operates efficiently, coordinating client and advisor schedules, managing administrative processes, assisting with marketing initiatives, supporting Human Resources functions, and organizing firm events and projects.

This position is performed on-site at our Denver Tech Center office.


Primary Responsibilities

Office Administration

  • Manage the day-to-day administrative operations of the office.
  • Serve as the first point of contact for clients, visitors, and vendors while delivering exceptional customer service.
  • Answer incoming phone calls and manage general office communications.
  • Receive and distribute incoming mail, deliveries, and packages.
  • Maintain conference rooms, reception areas, kitchen, and common spaces to ensure a professional office environment.
  • Coordinate office maintenance, repairs, cleaning services, and building management requests.
  • Manage office supplies, equipment, furniture, and vendor relationships.
  • Develop and improve administrative procedures to increase efficiency and organization.
  • Maintain office policies and administrative documentation.


Client Experience & Scheduling

  • Serve as the primary resource for advisor and client scheduling and coordinate through multiple advisor calendars.
  • Assist with annual client review scheduling and outreach initiatives.
  • Help ensure a consistent, high-quality client experience from first contact through meeting completion.
  • Support advisors with administrative requests and scheduling priorities.


Marketing & Event Planning

  • Coordinate firm marketing projects from planning through completion.
  • Publish website blogs and marketing content.
  • Coordinate newsletters, client communications, announcements, and email campaigns.
  • Assist with website updates and social media coordination.
  • Coordinate client appreciation events and firm functions


Executive & Administrative Support

  • Coordinate executive calendars, meetings, and travel arrangements.
  • Manage special projects and administrative initiatives.
  • Prioritize multiple assignments while maintaining accuracy and professionalism.


Qualifications

  • Minimum of 3 years of experience in office management, executive administration, administrative management, or a similar role.
  • Financial services or professional services experience preferred.
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time management abilities.
  • Strong attention to detail and follow-through.
  • Demonstrated ability to prioritize multiple responsibilities in a fast-paced environment.
  • Professional, polished, and client-focused demeanor.
  • Strong problem-solving skills with the ability to work independently.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift or move office supplies and packages up to 25 pounds.
  • Ability to perform duties requiring frequent computer use and phone communication.


Compensation Desired Characteristics

Salary Range: $45,000 - $60,000 annually

*Actual compensation will depend on experience, qualifications, skills, and internal equity.
