Reports to: Area Superintendent of Academic Programs

Wage/Hour Status: Nonexempt

Compensation Plan: Clerical/Paraprofessional

Pay Grade: 08

Minimum Salary: $25.25 hourly (2025-2026 Compensation Plan) 

Duty Days: 230 days per year

 

Primary Purpose:

Provides administrative support to the area superintendent and respective zone and ensures effective and efficient operations; organizes and manages the work activities of the area superintendent’s office and provides clerical services to the area superintendent in the day-to-day operations of academic programs.

Qualifications:

Education and Certification

  • High school diploma or equivalent
  • Bachelor’s degree (preferred)
  • Notary (preferred)

 

Experience

  • Three to five years of executive administrative and secretarial work experience providing support to senior and/or executive level public school administration, or related experience

 

Special Knowledge and Skills                                                               

  • Ability to perform multiple technical tasks simultaneously
  • Ability to independently assess and prioritize the needs of the area superintendent and the department; working effectively under limited supervision
  • Excellent organizational, communication (written and verbal) and interpersonal skills
  • Proficiency with MS Office and Google Workspace
  • Proficient skills in keyboarding, word processing, and file maintenance
  • Ability to use personal computer and software for word processing and to develop spreadsheets and databases; including but not limited to Microsoft Office applications (Word, Excel, PowerPoint) and DISD network
  • Ability to prepare and maintain accurate records
  • Ability to coordinate, organize, and monitor multiple projects of a complex nature
  • Strong knowledge of district organization, operations, policies and regulations
  • Exemplary customer service skills

 

Major Responsibilities and Duties:

  • Ability to use initiative and independent judgment within established policies and procedural guidelines.
  • Develops, drafts, and prepares final correspondence and reports by collecting and analyzing information and distributing as directed by the area superintendent; proofreads and edits documents.
  • Receives and screens communications to area superintendent, including telephone calls, mail and email messages, and uses independent judgment to determine priority; researches and responds to communications as appropriate.
  • Prepares and develops agendas, meeting logistics, and meeting records or minutes; provides follow-up on items as required.
  • Maintains area superintendent’s professional schedule and provides reminders as appropriate by scheduling meetings, conferences, teleconferences, and travel.
  • Prepares area superintendent for speaking engagements, including logistics, presentations, and program appearances.
  • Facilities travel arrangements for the area superintendent to various meetings, conferences, and seminars, including maintaining travel records.
  • Monitors, maintains and updates vertical zone budget.
  • Builds and manages electronic and paper filing systems, as well as taking steps to maintain state compliance with all applicable recordkeeping requirements.
  • Acts as liaison between area superintendent and departments, campuses, or the public, and represents and communicates issues and directives.
  • Communicates with campus administrators, department supervisors, and other personnel in the absence of the area superintendent.
  • Maintains attendance of direct reports of the area superintendent.
  • Maintains professional and technical knowledge by attending appropriate workshops, reviewing professional publications, and establishing networks.

 

Other Related Duties:

  • Follows district safety protocols and emergency procedures.
  • Participates in professional development, department meetings, and special events as assigned.
  • Performs other duties as assigned.

Tools and Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; frequent district-wide and occasional statewide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
