Role Description The Intake Specialist is a full-time, on-site role based in Waukesha, WI. This position is responsible for serving as one of the first points of contact for prospective clients, answering inquiries, gathering preliminary information, and explaining program options and admission processes. Day-to-day tasks include conducting intake assessments, collecting demographic and clinical information, verifying benefits and insurance coverage, and accurately entering data into electronic systems. The Intake Specialist coordinates with clinical and administrative teams to schedule assessments and admissions, helps ensure a smooth transition into appropriate levels of care, and maintains thorough, confidential records. The role also involves providing empathetic support, managing phone and in-person inquiries, and following established protocols to ensure timely, professional, and compassionate responses.
Qualifications
- Strong Communication and Interpersonal Skills to meet clients where they are, their families, and team members in a professional, trauma-informed manner.
- Demonstrated Client Intake and Customer Service skills, including gathering detailed information, managing inquiries, and guiding individuals through admission steps.
- Working knowledge of Insurance processes, including verifying benefits, obtaining authorizations, and explaining coverage in clear, accessible language.
- Ability to maintain accurate documentation, manage confidential information in compliance with HIPAA, and use electronic health record or related systems.
- Experience in behavioral health, substance use treatment, or a related healthcare setting is preferred.
- High school diploma or equivalent required; life experience is welcome; additional education in healthcare, human services, psychology, or a related field is a plus.
- Reliable on-site attendance, strong organizational skills, attention to detail, and the ability to prioritize in a fast-paced environment.
