The Role
We are hiring a Bookkeeper to own the firm's day-to-day financial record-keeping, pay the firm's vendors and expenses on time, and coordinate the settlement distribution process when cases resolve. This is a hands-on role at the center of the firm's financial operations. You will work directly with firm leadership, our attorneys, and our outside CPA, and we will train you on the trust accounting rules that govern client funds. The right person is detail-oriented, comfortable with numbers, and takes pride in getting the money right every time.
What You'll Do
Bookkeeping and Accounts Payable
- Record daily transactions in QuickBooks, including deposits, payments, and transfers across the firm's accounts
- Process and pay firm expenses, vendor invoices, and case costs after coordinating with attorneys and staff to verify them
- Track case costs by matter so they can be properly recovered at settlement
- Manage recurring payments (software subscriptions, office expenses, retainers) and reconcile vendor statements
- Maintain organized records of all transactions and supporting documentation
Settlement Coordination
- Coordinate the settlement distribution process from signed release to final disbursement
- Track incoming settlement funds and confirm clearance before distribution
- Calculate client disbursements and prepare settlement statements for attorney review and client signature
- Issue client and third-party checks
- Maintain clean, audit-ready records of every settlement
- Serve as the point of contact for clients asking about the status of their settlement
What We're Looking For
Required
- 1-2 years of bookkeeping, accounts payable, or similar financial operations experience, or a bachelor’s degree in accounting or bookkeeping
- Working knowledge of QuickBooks or similar accounting software
- Solid Excel skills and comfort learning new software quickly
- Understanding of basic accounting principles, including debits, credits, and reconciliations
- Meticulous attention to detail and strong organizational habits
- Discretion with sensitive financial information
- Clear written and verbal communication skills, including comfort speaking with clients by phone and email
- Proficiency with Microsoft 365 (Outlook, Excel, SharePoint)
Preferred (not required)
- Prior experience at a law firm is a significant plus; familiarity with plaintiff-side contingency-fee work is even better
- Familiarity with IOLTA/trust accounting rules
- Experience with legal case management systems
- Basic understanding of property insurance claims and/or personal injury cases
